Summary

The LSA Opportunity Hub at the University of Michigan is looking for a Coaching and Outreach Coordinator who will contribute to our mission to support students as they develop their aspirations and professional identities. Responsibilities*

The Coaching & Outreach Coordinator will perform a variety of professional responsibilities in support of the day-to-day operations of the Coaching & Outreach team and the Director of Coaching & Outreach in the Opportunity Hub. They will further the student-centered work of the LSA Opportunity Hub by providing administrative support, assisting with coordinating external collaborations, supporting the events planning efforts throughout the year, and coordinating various HR-related duties during our full-time and student-staff hiring processes. This role reports to the Director of Coaching & Outreach.

Communication and Operations

  • Monitor Hub inbox for Coaching & Outreach-related inquiries and respond to and/or refer as appropriate
  • Manage intake and triage of C&O team requests via ClickUp project management system
  • Triage communications between the external requester and internal stakeholders within Hub departments
  • Oversight of workshop administration for the C&O team, including managing scheduling, external event requests, documentation, and other details related to workshops specific to the team's portfolio of work
  • Coordinate with C&O team representatives to ensure staff member capacity and availability when responding to requests
  • Monitor and maintain C&O area within ClickUp project management system
  • Support logistics for C&O team initiatives, including pop-up coaching, outreach campaigns, and team retreats

Data Management

  • Maintain and analyze data related to Coaching & Outreach across software platforms, such as LSA Engage and Qualtrics
  • Ensure contact notes are being captured and accurately documented within the LSA Engage platform
  • Provide reports to the Coaching & Outreach team and leadership as needed, such as external request tracking data, workshop data, and student feedback surveys
  • Partner with the Learning, Data, and Assessment team to support Coaching & Outreach data and systems processes
  • Work with the Coaching & Outreach team to interpret, monitor, and analyze information regarding operating policies and procedures
  • Coordinate the organization of the team resource library to ensure ongoing accessibility and efficient use of tools related to diversity, equity, and inclusion, and career development

Administrative Support

Calendar Management, Meeting, and Project Management Support for the Coaching and Outreach leadership team

  • Provide complex calendar management strategy, maximizing efficient use of the Director of Coaching and Outreach's time
  • Coordinate and support meetings as needed
  • Provide administrative support that is proactive and anticipates needs keeping the director well-prepared and informed to ensure deadlines and commitments are being met
  • Make travel arrangements, prepare detailed itineraries, and manage travel expenses for the director and members of Coaching and Outreach team without university-issued Pcards.
  • Special projects as needed

HR - C&O Staff and Intern Employment

  • Coordinate staff employment searches for the C&O team
  • Coordinate onboarding for new staff on the C&O team
  • Assist with hiring & onboarding of student staff as needed

Required Qualifications*

  • Experience organizing and executing events
  • Experience managing administrative calendars or proof of equivalent experience
  • Demonstrated organizational and project management skills and/or experience
  • Strong communication skills
  • Commitment to diversity, equity, access, and inclusion
  • Experience working on or with a team
  • Work experience demonstrating an increase in responsibility
  • Experience adapting to the changing needs of an organization
  • Bachelor's degree and/or equivalent work experience

  • This position regularly works on-site, although all positions in LSA have the option for flexible work arrangements
  • The position may require occasional work in the evening or on weekends
