Griffiss Institute is seeking an experienced Marketing and Events Coordinator to support our Events Manager in planning and executing successful events. The Marketing & Events Coordinator will be responsible for assisting and coordinating all aspects of events, including vendor management, logistics, and on-site management. Additionally, the ideal candidate will have experience in marketing and promotional activities, to ensure successful event promotion and attendance. The Marketing & Events Coordinator will work closely with internal and external stakeholders to ensure that all events are executed seamlessly and meet the needs of our attendees, cultivating positive long-term relationships with all event stakeholders, and sponsors.

Responsibilities:

  • Assist in the planning and execution of all events, including conferences, seminars, and corporate events, to include but not limited setup, breakdown, and coordination of event activities
  • Work closely with internal stakeholders to determine event objectives and requirements
  • Research and select event venues and vendors, negotiating contracts and pricing as needed
  • Coordinate logistics for events, including catering, audiovisual equipment, transportation, and accommodations
  • Develop and manage event budgets, ensuring that all expenses are accounted for and that events are executed within budget
  • Create event timelines and manage event schedules
  • Coordinate with marketing and communications teams to ensure that events are effectively promoted
  • Develop and execute event marketing and promotional plans to drive attendance
  • Create event marketing materials, such as flyers, social media posts, and email campaigns
  • Manage event registration and attendee databases
  • Provide on-site event management, ensuring that all aspects of the event run smoothly
  • Conduct post-event evaluations to identify areas for improvement and make recommendations for future events
  • Collect data for metric reporting

Requirements:

  • Bachelor's degree in event management, marketing, or a related field
  • 2-3 years of experience in event planning and management, with a focus on marketing and promotional activities
  • Strong organizational skills and exceptional attention to detail
  • Excellent communication and interpersonal skills
  • Ability to manage multiple projects simultaneously
  • Proficiency in Microsoft Office, and event management
  • Willingness to work evenings and weekends, as required
  • Ability to travel, as required

Physical Requirements:

  • Onsite work preferred; and required at times;
