Pay Range: $80,000-$90,000K

Summary of Role
The Operations Manager (OM) will organize and coordinate administration duties and office procedures. This role will create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. The Office Manager will maintain office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions. As the OM you will be responsible for the designs and implementation of office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.

Position Functions for Mastery

OPERATIONS
Operating Systems (OS): Mastery of Operating System by participating the creation, development, and maintenance of business processes and systems for scalability and viability of the department or division. Utilizing modern shared digital operating manual technology, assist with the buildout of a comprehensive operating system via compilation of digital best practices, policies, and procedures.
Operations Technology: Mastery of Operations Technology by contributing to the identification, installation and maintenance of key technology aimed at increasing the efficiency, capability, and effectiveness of the Finance Department.
Office Management: Mastery of Office Management by strong coordination and execution of administrative duties and procedures in order to ensure organizational effectiveness, efficiency, and safety.
Vendor Relations: Master of Vendor Relations by assessing the top vendor talent in the market, identifying the optimal business alignment, negotiating agreements and partnering with the vendor to outline mutual expectations of relationship.
HR – Staff Relations: Mastery of Staff Relations by practicing and supporting business polices and core philosophy, established in an effort to create and maintain a positive work environment where there is harmony between employees and employer for the purpose of staff retention and productivity.
Systems Analyst: Mastery of Systems Data Analyst by participating in the installation, maintenance and utilization of CRM, financial planning systems, and other applications to achieve a strong command over the examination and study of operational data of service, production and performance for reporting, KPIs & Scorecards.
Business Continuity: Mastery of Business Continuity by participating in the development and implementation of a strategic plan that establishes the capability of an organization to continue the delivery of products or services at pre-defined acceptable levels following a disruptive incident.
Facilities/Leasehold: Mastery of Facilities and Leasehold Management by the execution of a professional discipline designed to ensure the functionality, comfort, safety and efficiency of an office environment, as well as maintaining an effective relationship with the office space owner and their representatives.
Project Management: Mastery of Project Management via systems and executive agenda utilized for initiating, planning, executing, controlling, and closing set tasks to achieve specific goals and meet specific success criteria at the specified time.
Hospitality: Mastery of Hospitality by exercising the attained skill of providing cordial, generous and professional planning for and reception of business guests, clients and other visitors to the office place for a set meeting or an unscheduled visit.
Executive Administration: Mastery of Executive Administration by managing the projects and activities of a high-level executive, executives or an executive board in an effort to provide for the efficient and accurate operations and function of the organization.
Community Relations: Mastery of Community Relations by the development and implementation of various methods that a business utilizes to establish and maintain a mutually beneficial relationship with the communities in which it operates in hopes of gaining long-term community support, brand recognition and public goodwill.

BUSINESS DEVELOPMENT /MARCOMM
MC – Events: Mastery of MC Events by the development and execution of a marketing strategy that effectively communicates to the marketplace, special details of an opportunity or opportunities for face-to-face contact between brand and customer and may include conferences, trade shows or company sponsored events.
Communications (External): Mastery of Communications (Internal) by the development and maintenance of an institutional grade Communications Function to bring to all key External Audiences critical and timely information and data, while deploying innovative systems and leveraging technology to execute enterprise level performance.
Communications (Internal): Mastery of Communications (Internal) by the development and maintenance of an institutional grade Communications Function to bring to all key Internal Audiences critical and timely information and data, while deploying innovative systems and leveraging technology to execute enterprise level performance.
Management Leadership: Mastery of Management Leadership by mentoring and leading the development of strategies through to the completion of origination goals. Driving value by cultivating ongoing partnerships with employees and stakeholders throughout the life cycle of internal relationships

Position Requirements

  • High school diploma or equivalent required; Associates degree in office administration or related field preferred.
  • At least three years of administrative and clerical experience required.
  • Experience with computers and software applications.
  • Ability to learn current office software and equipment and any future updates to software or hardware.
  • Proficient with Microsoft Office Suite or related software.
