General Summary:

The Safety Administrative Assistant will handle clerical duties for the Safety Department such as electronic filing, responding to Ace Safety email requests, sending reports, issuing prescription safety glasses vouchers, boot reimbursements, etc. The Safety Administrative Assistant will also answer calls and provide clerical support for the Safety Department. This position will report to the Safety Administrator and Safety Director.


Preferred Job Skills:

  • Able to demonstrate computer and keyboard skills to include MS Office Suite.
  • Acute attention to detail.
  • Ability to maintain required levels of confidentiality when entrusted with sensitive business, customer or employee related information.
  • Ability to manage multiple responsibilities in a fast-paced environment.
  • Able to maintain high levels of productivity, meeting deadlines while maintaining accuracy.
  • Effective and professional communicator, both written and verbal.
  • Able to maintain a pleasant customer service attitude while under pressure.
  • High level of professional business acumen and integrity.
  • Bilingual in Spanish preferred

Mandatory Hiring Requirements:

References, Background Check, Drug Screen Testing, Valid Driver’s License.


Responsibilities:

  • Provides administrative support to all divisions staff for training report requests, operator certification cards, boot reimbursements, prescription safety glasses vouchers, PPE/equipment orders etc.
  • Creates and maintains Safety Manuals.
  • Creates new site package requests.
  • Assists in processing company-wide Safety Incentives to include mailing packages.
  • Maintains and uploads all employees electronic training records through Bamboo HR.
  • Ensures all office common areas are organized and ready for use (Conference room, etc.)
  • Conduct New Employee Safety Orientations as needed.
  • Manages all expense report for Home Office Safety personnel to include the Safety Director and Regional Coordinators.
  • Orders all PPE and equipment for all divisions upon request.
  • Maintains accurate inventory of Safety PPE and misc. items in Home Office.
  • Remains up-to-date and knowledgeable on all OSHA Recordkeeping standards and regulations.
  • Additional responsibilities may be assigned as needed.

Position Requirements:

  • License: Valid state driver's license as required by job conditions or by the company.
  • Certification: None required.
  • Education: High School Graduate or GED.
  • Experience: Minimum of 2 years of office experience.

Working Conditions:

  • Work in a climate-controlled office setting with varying degrees of stress and time pressure.
  • Considerable amount of time making repetitive motions.
  • Considerable amount of time sitting.
  • Considerable amount of time using telephone and computer.
  • Sounds, noise levels may be distracting or uncomfortable.

Required Physical/Mental Functions:

  • Comprehend and practice safe work procedures as outlined in the Company Safety Handbook.
  • Operate company vehicle.
  • Read and interpret instructional manuals and written instructions.
  • Must hear and see well (either natural or with correction).
  • Must be able to bend, stoop, squat, kneel, push, pull and reach overhead.
  • Able to lift objects weighing up to 30 pounds, with frequent lifting and carrying of objects weighing up to 20 pounds.
  • Tolerant to prolonged sitting.
  • Repetitive use of arms, hands, and fingers.
