The Office of the President is seeking an University Ombuds. This is a full-time (1.00 FTE ), 12-month, professional faculty position.

The University Ombuds assists University community members and groups in the resolution of conflicts or concerns. , presenting a range of responsible options to resolve problems informally, and facilitating discussion to empower individuals and groups to identify the best options. The University Ombuds’ major function is to provide confidential, neutral, and informal assistance to the University community by listening to concerns, clarifying issues, exploring options for resolution, providing information and referrals, and when appropriate and all parties agree, facilitating informal, nonbinding, mediated conversations. Serving in a designated neutral capacity, the University Ombuds is not an advocate for any individual or unit of the University.

The University Ombuds Office (UOO) provides Ombuds services and education to all members of the University community. The University Ombuds is responsible for the management of the University Ombuds Office, which is comprised of an Associate Ombuds and Program Coordinator. The University Ombuds develops and supervises employees to ensure that all members of the UOO maintain the professional standards and principles outlined in OSU’s Ombuds Charter.

To preserve independence and neutrality, the Ombuds reports directly to the Administrative Director, within the Office of the President. The Ombuds Office does not accept legal notice on behalf of the University, and information provided to the Ombuds does not constitute such notice to the University.

Position Duties
75% Ombuds Services:
Provides confidential, neutral, and informal assistance to the University community by listening to concerns, clarifying issues, exploring options for managing or resolving conflicts, providing information and referrals, and if all parties agree, facilitating informal, nonbinding mediation. The University Ombuds advises the Associate Ombuds and Administrative Program Coordinator on cases as necessary. The University Ombuds may occasionally participate in workgroups dedicated to promoting an inclusive climate to reduce bias-related conflicts.

10% Training and Education:
Develops and provides periodic conflict management training to faculty, staff, students, and administrators.

10% Management and Supervision:
Manages and oversees the UOO’s budget, and builds a strong, respectful office culture, ensuring compliance with UOO’s charter; provides oversight of daily operations including case management and procedures, and supervises two professional faculty. Provides ongoing development, individual and team feedback, and encourages ongoing professional development of UOO employees and educates others within the university community.

5% Reporting:
Provides anonymous, aggregated trend data to the Office of the President on a periodic basis identifying systemic trends to inform efforts to improving climate via organizational processes and managerial support.
Minimum/Required Qualifications
Bachelor’s degree.
Minimum of three years professional experience performing the role of an organizational Ombuds.

Demonstrated skills, knowledge and understanding in the following areas:
  • Outstanding communication skills, listening skills, the ability to convey empathy and approachability, and coaching skills.
  • Ability to communicate effectively within the context of a complex organization.
  • Demonstrated experience in providing neutral and confidential support, including in highly charged situations.
  • Excellent judgment and the ability to maintain confidence to the utmost extent permitted by law.
  • Ability to serve in an independent capacity to avoid conflicts of interest and any appearances of being compromised.
  • Professional composure in all situations, the ability to inspire trust and confidence and build collaborative working relationships across the organization.
  • Ability to clarify issues and develop creative solutions to address complex conflict and evaluating how potential courses of action may impact the inquirer and other community members.
  • Deep understanding of interpersonal and organizational conflict, particularly when social identity is a contributing factor.
  • Experience successfully working with individuals from a wide variety of backgrounds and cultures, and strong understanding of intercultural communications, challenges, and conflict resolution approaches.
  • A demonstrable commitment to promoting and enhancing diversity.
  • Ability to obtain a deep understanding of the University’s policies, processes, values, culture, departments, and resources to serve as a strong bridge builder and networker across the community.
  • Effective presentation skills and ability to design and deliver training sessions to a wide variety of audiences.
  • Ability to conduct outreach efforts to increase the visibility of the office and ensure that accurate information about the office is disseminated.
  • Qualitative and quantitative skills necessary for interviewing, data gathering and analysis of facts and trends.
  • Ability to manage an office budget.
  • Ability to supervise and support personnel.

Working Conditions / Work Schedule
Typical office environment and 8-5 business hours in person. Occasional evening or weekend work may be needed. Occasional travel, mostly in-state, will be necessary. At times, ombuds services and trainings will need to be provided remotely.
