ESSENTIAL FUNCTIONS:

Invoice Processing:

  • Verify proper approval before entering invoices into the system for payment
  • Data entry for accounts payable for all locations, domestic and international in D365
  • Data entry for inventory and sample invoices in D365

Payments:

  • Initiate ACH and wire transfers for suppliers in D365
  • Prepare and process AP checks; manage check runs and mailing of checks
  • Prepare manual checks when needed
  • Monitor system to ensure payments are made timely
  • Maintain recurring ACH’s
  • Create and maintain templates on the banking portal used for payments in USD
  • Create or maintain templates on the banking portal for payments currencies other than USD

Vendor Communication:

  • Correspond with vendors or PC managers as needed when questions arise
  • Ensure W-9’s are received for vendors

Filing and Tracking:

  • File accounts payable invoices and maintain organized files
  • Support and help with future AP enhancements and process improvements
  • Analyze vendor statements to ensure accounts are current

Other:

  • Provide check listings and totals of various payments made to CFO prior to disbursement
  • Prepare information requested from annual auditors
  • Prepare ongoing documentation for all job responsibilities and keep updated so that someone else could perform tasks in an emergency situation
  • Perform various tasks as requested by the Assistant Controller

EDUCATION AND EXPERIENCE:
Required:

  • 5-7 years Accounts Payable experience

Preferred:

  • Experience with D365 accounting system
  • Basic general ledger or bookkeeping experience
  • Accounting, bookkeeping or finance training helpful

SKILLS REQUIRED:

  • Must be able to accurately perform detail oriented tasks
  • Basic keyboarding skills
  • Strong organizational skills
  • Must be trustworthy and confidential with information, possessing strong business ethics
  • Good verbal and written communication skills
  • Able to collaborate with others in the organization
  • Proficient at Microsoft Excel

PHYSICAL DEMANDS:

  • Able to walk up and down stairs in order to use various office equipment
  • Sedentary office position
