Job Description:
General Objectives:
Reporting to the Maintenance Planning General Supervisor, the Maintenance Admin Technician typically works a 4 day10 hour schedule. This role is accountable for general clerical functions associated with Mine Maintenance including document management, data entry, and record keeping.
Key Areas of Responsibilities & Duties:
The key responsibilities of this position include, but are not limited to the following:
- Document Management of Safety Meeting Sign In Sheets, Pre-Ops, Daily Fuel Report, 5000-23s, Training Paperwork, Vendor Sign in Sheets and other miscellaneous documents
- eMaint Document Management: Scanning PM, Pre-PM, Vendor Reports, Component Replacement forms, Electrical PM’s, Fire Pump Inspection Documents, etc.
- Liaise with HR by posting communications on bulletin boards
- Liaise with maintenance employees on HR needs and requirements
- Support Shift Supervisors on Overtime Management, Posting, Assignments & Tracking
- ADP Time Entry Administrator
- Assist Maintenance Training Coordinator with scheduling Contractor Sites and assist with New Hire Training
- Support Maintenance Planners with the development of PM packets weekly, requisitions, etc.
- Facilitates the Maintenance Morning meetings on Teams and manages Down Report Edits and communications to the Operations team.
- Back up Light Vehicle Planner when necessary
- Audit Service Invoices
- Set up meetings, including room reservations, food and travel arrangements
- Assist Safety & Health department, when required
- Perform administrative duties at meetings as assigned
Required Skills:
- Ability to adapt to changes
- Excellent organizational and problem solving skills
- Must be proficient with Microsoft Outlook, Excel, Word, Power Point and Teams
- Ability to prioritize projects, manage time efficiently, handle details and follow several projects simultaneously to completion
- Ability to communicate both written and verbally with various levels of organizational structure, multiple departments and sites
- Ability to build trust and develop great working relationships with site personnel.
Required Experience:
- Experience with Maintenance Software programs is preferred (eMaint or SAP)
- Experience with Mining Maintenance or a related field is preferred
- Knowledge ADP payroll systems
- Driver’s License
