The Admissions Visit Coordinator is an integral part of the Admissions team. The Coordinator provides scheduling and reception support and is essentially the 'public face' of the Office of Admissions. The position serves as the liaison between public visitors to the Office and College staff, faculty, and students. The position coordinates the schedule/activities of visitors - activities ranging from campus tours and conversations with counseling staff to class visits and overnight stays with current students - with an emphasis on a personalized and substantive experience. The Coordinator manages the Office of Admissions calendar, assigning events to respective staff and manages Admissions facilities to ensure a clean and welcoming environment.

General Responsibilities:

  • Coordinate the schedule and activities of visitors to the Office of Admissions, with an emphasis on a personalized and substantive experience. Activities may include, but are not limited to, coordinating campus tours, conversations with counseling staff, class visits, and overnight stays with current students.
  • Manage the Office of Admissions calendar which includes assigning events to admissions counselors and interns which might include tours, interviews, information sessions, and other activities relevant to the Campus Visit program or Office of Admissions.
  • In all areas of responsibility, promote a commitment to building a diverse, inclusive, equitable and anti-racist community.
  • Oversee the maintenance of the Office of Admissions, to ensure that the facilities are welcoming, clean and orderly, and in good working order. Receive visitors.
  • Maintain stock and inventory of hospitality supplies, informational materials, and visitor packets.
  • As directed, oversee, coordinate, train, and/or guide the work of student interns, volunteers, or temporary personnel, especially as related to receiving visitors, answering the telephone, and scheduling visits.
  • Maintain an accurate record of visits to the Office of Admissions.
  • Ensure that access to and use of data and files is managed effectively and in compliance with established admissions guidelines.
  • Promote a positive and collaborative atmosphere and working relationship with students, employees, supervisors, and other individuals that this position may come in contact with.
  • Use proper judgment to ensure efficiency of assigned duties on a daily basis and recommend improvements in work efficiency.

Qualifications and Requirements:

  • Minimum education high school graduate or GED equivalent; BA degree preferred.
  • One to three years’ general administrative experience required; admissions experience preferred.
  • Excellent communication skills. Able to engage and communicate effectively with external constituents as well as students, staff, and faculty at all levels of the organization. Demonstrated ability to accept sensitive/confidential information/situations and to facilitate initial handling/processing.
  • This is a generally external facing position working with students at different educational stages, the parents or guardians of students, and secondary school counselors and teachers who will tender a broad array of requests. Flexibility and good judgment are essential to navigating the requests and expectations of such a broad constituency. Occasional weekend work required during Fall and Spring cycles.Ability to develop a rapport with diverse groups of people and a deep-seated respect for others are also essential.
  • Ability to work independently as well as in collaboration and an ability to approach the work with a creative, adaptable working style.
  • High degree of computer literacy (Slate CRM, Google Products, e-mail and the Internet). Experience with spreadsheets (Excel) preferred.
  • Ability to work with limited direction, handle multiple tasks including detailed process issues. Must have a high attention to detail and accuracy and have demonstrated success in organizing volumes of paperwork.
