PRIMARY PURPOSE/GENERAL DESCRIPTION:
Reporting to the Associate Dean of Faculty, the Administrative Assistant will work independently to perform a broad range of administrative and highly skilled administrative and clerical duties for faculty. Duties and responsibilities are varied and often confidential in nature. The position requires knowledge of the organization, its policies, procedures and personnel, and expertise in a variety of computer software programs.
DESCRIPTION OF DUTIES AND RESPONSIBILITIES:
ESSENTIAL FUNCTIONS:

  • Assist with student summer research awards including meeting with student awardees, helping with student paperwork, and answering questions.
  • Work with students on reimbursements for summer research expenses.
  • Meet with summer research students during the summer and provide support regarding their final paper, Research Bytes video, and poster presentation.
  • Update internal webpages for fellowships and Capstone Day as needed.
  • Oversee Fellowships social media accounts to advertise fellowship opportunities.
  • Assist students with submitting applications to fellowships.
  • Provide general assistance to the Associate Dean of Faculty in preparation of fellowship materials, advertisements for campus events, and any other related duties.
  • Organize and publicize campus events, workshops, or other events/meetings as may be required, including the signature events Fall Research Tea and Capstone Day.
  • Monitor Fellowships email account.
  • Supervise student worker.
  • Perform other duties and tasks specific to the position as needed.
  • Active support for the College’s Principles of Community and Principles of Diversity in the performance of job duties.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES:
The individual must possess knowledge, skills, and ability to be able to successfully perform the essential functions of the position.
  • Must have excellent computer skills and be proficient in Microsoft Office, Excel, Adobe, and other computer software programs including database management systems.
  • Must possess strong organizational skills.
  • Excellent written and verbal communication skills for correspondence, projects, and reports.
  • Ability to interact with a diverse faculty, staff, and student population.
  • Experience working on budgets.
  • Must have the ability to work with confidential information and demonstrate good judgment.
QUALIFICATION STANDARDS:
EDUCATION & EXPERIENCE:
Graduation from high school or equivalent with courses beyond high school equivalent to two years of college or business school or any combination of education, training or experience that provides the required knowledge, skills, and ability.

HOURS & CLASSIFICATION AND STATUS:
This is a regular status, part-time, 15 hours per week, 12-month, non-benefits eligible, non-exempt position.
The regular hours of this position are Monday, Tuesday, and Thursday from 10:00 am-3:00 pm. Evening and weekend hours may be required.
Hourly rate range: $19.50-22.00. The hourly rate of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.

Supervises student employees.
