SUMMARY

The Business Support Specialist (administrative support) shall provide transaction reconciliation services for purchase, travel, and fleet charge cards in support of client (federal) scientists and management staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Credit card review and adjustment

  • Use specific computer software for charge card reallocations, reconciling charge card transactions, reviewing charge card purchasing logs, and coordinate statement routing for review and approval.
  • Charge Card reallocations shall be processed, and adjustments made according to guidelines outlined in The DOI USGS Survey Manual, The Financial Operating Procedure Handbook (FOP) and The Financial Business Management System (FBMS) Guidelines, as well as and internal Oklahoma-Texas WSC (OTWSC) local administrative policy.
  • The contractor shall be responsible for ensuring items such as purchase account verifications, adjustments, budget object codes, fiscal years, descriptions of purchases, names and log sheets are correctly annotated.

Fleet transaction reconciliation

  • Fleet transactions require additional steps as part of the reallocation process to include, creating and closing out maintenance work orders, Journal Voucher worksheets (JV/VA), and seeking review and approval from OTWSC Budget Analyst group prior to entry.

Special account documentation

  • Assist administrative staff with special document filing, reporting, and all aspects of charge card documentation.

Schedule and Deliverables

Will need to access government servers to complete the deliverables.

SUPERVISORY/MANAGEMENT AUTHORITY

Will report to CNSS Program Manager and may coordinate daily work with client representative (Task Order Manager).

EDUCATION and/or EXPERIENCE

  • Associate’s Degree in a Business related field
  • Previous job experience must include 2 years of administrative, financial, accounting, or budget analysis work with knowledge

KNOWLEDGE, SKILLS AND ABILITIES

  • Good typing skills
  • Knowledge of federal government business practices preferable
  • Familiar with PC computer-based systems and electronic mail programs
  • Good working knowledge of Microsoft Office Suite
  • Knowledge and proficient in the use of Microsoft Edge, SharePoint, and Teams.
  • Ability to work as part of a group with changing priorities and deadlines
  • Good communication and inter-personal skills
  • Knowledge of federal government business practices preferable
  • Applicable training on government systems, software, and internal business processes will be provided.

WORK ENVIRONMENT

Client location is at Austin, TX. However, this work can be completed/performed remotely (teleworking). Selected employee must reside in the US. Worksite must be quiet and free from interruption and conducive to virtual meetings.

Estimated Starting Salary Range: $ 22.00 - $ 23.00 per hour

Cherokee Federal employees are included as covered employees in U.S. Presidential Executive Order 14042, which mandates Covid vaccines for federal contractors. Executive Order 14042 is currently blocked from enforcement pending court proceedings. Therefore, Cherokee Federal is halting the application of the mandate; however, if the injunction is lifted, Cherokee Federal will restore administration of the vaccine requirement.
