Required:
- Experience in a college or university registrar's office, or equivalent experience
- Proven experience with executing specific stages of a project plan
- Ability to organize, coordinate, and lead projects
- Demonstrated ability to learn and apply policies and procedures
Preferred:
- Prior experience with processes and procedures related to degree progress, curricular management, and/or academic advisement in a higher education environment
- Understanding of student information systems; knowledge of, and experience with, academic advising applications
- Working knowledge of principles, practices, and methods of project management
- Experience in investigating, troubleshooting, and researching both software and practical issues
Knowledge, Skills, Abilities
- Good interpersonal skills resulting in ability to work cooperatively with various constituencies across the University and external vendors
- Strong written and verbal communication skills and ability to translate requirements to a variety of stakeholders
- Strong organizational skills, project management skills, and ability to operate well with uncertainty
Position Summary
The position is primarily responsible for the oversight of the Office of the University Registrar (OUR) special project activities. This position works closely with the OUR leadership, as well as stakeholders on campus and external vendors. In addition, this position is responsible for building, testing and validating academic curricular requirements in a degree progression platform.
Responsibilities Include (but are not limited to)
Maintenance of degree progression applications
- Develop a baseline knowledge of the Office of the Registrar auxiliary systems and points of integration.
- Directly and independently work with academic areas in defining, documenting, and validating degree requirements.
- Work with OUR teams to compile and organize degree requirements.
- Review degree requirements to ensure completeness, accuracy and adherence to University standards.
- Configure degree audit requirements in a centralized degree progression platform. When necessary, consult with OUR team members to interpret degree requirements.
- Ensure conformity and maintain a consistent layout following established formatting best practices.
- Validate and test a spectrum of use cases for each degree audit. If existing academic advisement audits are available, conduct a comparison.
- Create testing worksheets and coordinate validation testing with stakeholders.
- Review validation and testing worksheets to determine trends and facilitate the resolution of problems.
- Processes all degree requirement exceptions, waivers, and substitutions. Make any necessary updates to the degree audit to ensure the accuracy.
Project Coordination
- Manage and coordinate day-to-day activities involved in executing project plans.
- Maintain project database to track overall progress and the accomplishment of specific milestones.
- Ensure all parts of the project plans are organized, monitored, and progressing according to predetermined timelines, milestones, and deliverable dates.
- Report project outcomes and/or risks to the appropriate leadership channels as needed - escalating issues as necessary.
- In collaboration with OUR leadership, analyze project progress and, when necessary, adapt scope, timelines, and resources.
- Act as a point of communication between OUR teams and stakeholders; including coordinating requests for information, tracking requests, electronically organizing information, and scheduling of meetings.
- Maintain contact with stakeholders on tasks and milestones to establish strong communication channels.
- Assist in documenting business practices to improve operational efficiencies.
Reporting
- Gather, arrange, and inspect data using various procedures and applications to deduce information that can be used to support academic operations.
- Analyze data, with due consideration for the influence of missing information, outliers, plus confounding and extraneous variables.
- Reporting on insights obtain, which might be utilized to inform academic operations.
- Consulting on areas of uncertainty to promote optimal use of academic resources to inform degree progress and academic operations.
- Creating and updating data sets that evolve in tandem with academic operations.
Ad hoc Assignments
- Participate in projects and OUR related tasks as needed.
