POSITION SUMMARY
The Centralized Sales and Administration position is responsible for handling administrative activities related to multiple stores' accounting and operations, making credit decisions, managing each store's AR accounts, maintaining store-coded inventory, processing orders, and purchase orders in the store's point of sale system, Customer First, and completing other inventory-related duties in the Store Replenishment system. Providing excellent customer service and completing work according to company policies, procedures, and the Code of Conduct is crucial to this position.
PRIMARY RESPONSIBILITIES
85% - Store Accounting/Bookkeeping
Assists in-store accounting and bookkeeping procedures by completing and reviewing each store's daily work. Reconciling the warehouse statement to comply with company policies, verifying all transactions from the store level and the warehouse are audit compliant, and reconciling invoices; processing payments for accounts payable; preparing and distributing accounts receivable statements; preparing monthly sales/use tax reports and Warehouse statements; processing Federal Excise Tax exemptions; preparing and submitting vendor setup/change requests to the Accounting Department, and maintaining related financial documentation. Placing weekly DC model and add-on orders for multiple stores, receiving all purchase orders creating and processing merchandise transfers and cost transfers, and setting up, maintaining, and processing payments for local vendors. Tracking and filling all incoming vendor invoices, POs, and Receivings. Maintaining each store's Store Coded Inventory book. Supporting each store’s management teams with inventory discrepancies. Running weekly battery orders in Customer First. Have monthly meetings with the store management teams to ensure good communication.
Credit Program:
Assists in the administration of Les Schwab Credit Program by collecting information and reviewing credit applications; discussing credit options with store management; using Les Schwab’s scoring system to determine customers’ creditworthiness, making recommendations to management as necessary; informing customers of decisions whether or not to extend credit; processing over-limit charges to customer charge accounts with management approval; discussing delinquent accounts with customers to solicit payment and identify collection options; recommending and discussing courses of action related to past due accounts with management and Credit Department; preparing and maintaining documents related to court filings, repossessions, collection agencies, and write-offs; maintaining and verifying write-offs; reconciling pay-by-invoice accounts; and processing billing transfers and inter-store account transfers.
Store Operations:
Assists in-store operations by interacting with Headquarters to resolve problems such as credit account issues, invoice billing issues, and problems; taking appropriate action or discussing issues with management as necessary.
Store Inventory: Monthly inventory, Year-end inventory, quantity adjustments, miscellaneous inventory, Store coded inventory. Creating a SKU for each item, adding it to the store's purchase order, posting the purchase order, receiving the purchase order, and adding the item to the customer work order. Daily maintenance of store-coded items from purchase to sale of the item. Maintenance store-coded SKUs.
10% - Supporting the Store Inventory Planning team. Building and maintaining outside purchase reports for each store. Maintaining store-coded SKU descriptions. Helping manage the stocking level recommendations in Customer First. Working together to ensure we have the proper inventory at the store locations. Calling past due AR customer accounts, managing bad debt expenses, reconciling commercial AR pay buy invoice accounts.
5% - Traveling to Les Schwab locations to provide on-site Sales and Admin training.
MINIMUM REQUIREMENTS
  • High school diploma, GED or equivalent, some college preferred. Required 5 years of Les Schwab Sales and Admin experience.
  • Proficient in all areas of service provided by Les Schwab Tire Centers. Proficient in Google Docs, Sheets, Slides, Excel, and Service Cloud.
  • Ability to focus on priorities and complete work accurately/on time in a rapid pace and changing environment. Ability to balance day-to-day workload deadlines while responding promptly to end-user questions and training needs. Become skilled at operating an inventory replenishment application and learning inventory management concepts. Strong math, oral, and written skills; store operations and K3S experience preferred.
