Charlie Health has set out on a mission to reimagine how high acuity care is delivered to young people and families in crisis. Our initial offering is a virtual intensive outpatient program, which places peers with similar mental health experiences and goals into customized virtual groups. Our team of masters-level clinicians lead groups multiple times per week to deliver a higher level of care.

About the Role

The Licensing Coordinator will serve as a critical member of the Clinician Licensing team by supporting the team in administrative functions, including but not limited to printing and processing mail, handling sensitive employee information, and data entry. This is an in-person role in adherence to our hybrid policy.

Duties & Essential Job Functions

  • Processing mail, checks, faxes, and sensitive personnel-related information on behalf of the Clinician Licensing team in a timely manner
  • Data management: Accurately updating applicable licensing information within company systems and applications
  • Adhering to goal turnaround times in responding to requests from other team members
  • Able to juggle multiple competing priorities in a fast-paced environment
  • Sending fingerprints to various states, including obtaining payment in the form of checks, money orders, etc.
  • Obtaining various state-specific documents from the employee to send to the state for processing
  • Tracking fingerprints and documents
  • Managing communication with staff members throughout the licensing process
  • Maintaining physical and digital employee records
  • Gathering required documentation from clinical staff
  • Submitting license renewals and registrations
  • Additional licensing admin tasks as needed

Requirements

  • H.S. diploma or equivalent
  • 1 – 2 years of working experience (some administrative experience is desired, but not required)
  • Extreme attention to detail
  • Positive attitude and clear communication style is a must
  • Team-oriented mindset; experience working with remote team members is preferred, but not required
  • Experience in a healthcare setting is highly desirable
  • Some experience in clinician licensing is highly desirable
  • Excellent verbal and written communication skills
  • Ability to maintain strict confidentiality
  • Concise and clear communication ability
  • Work authorized in the United States and native or bilingual English proficiency
  • Familiarity with and willingness to use cloud-based communication software—Google Suite, Slack, Zoom, Dropbox, Monday.com
