JOB SUMMARY
The Office of the Provost invites applicants for the Finance & Administration Coordinator. Reporting to the Director of Academic Finance and Administration, this position is a key member of the Office of the Provost team. The person in this position assists senior leadership in managing the overall business and administrative functions of academic affairs, including the management of all financial, capital, and human resources in the division.
A successful candidate will provide exceptional assistance to the Provost’s Office with outstanding organizational, communication, and problem-solving skills. This is a confidential staff position requiring an understanding of discretion and professionalism. The person in this position will work in a collaborative, dynamic team environment and manage positive relationships with and across teams.
DUTIES AND RESPONSIBILITIES
- Provides financial, analytical, and administrative support for the Office of the Provost, as well as other departments reporting up to the Provost as needed.
- Supports the project management of ongoing assignments, including developing timelines and communication plans, overseeing progress reports, and completing postmortem analyses.
- Independently and continuously identifies process improvement strategies for the tracking and management of personnel and financial data and agreements.
Academic HR Support:
- Independently reviews and approves complex requests for searches and offers in the applicant tracking system workflow, elevating to the Director when necessary.
- Monitors and administers appointments for Directors, Deans, Vice Provosts, and other direct reports to the Provost ensuring compliance with HR standards for management-exempt employees, consideration, and philosophy on compensation structure.
- Assists in drafting and reviewing recommendations on faculty and staff appointments and compensation configurations.
- Assists in coordinating the process of collectively bargained or other salary increase administration for Academic Affairs divisions, including coordination and tracking of retention agreements and new retention initiatives.
- Leads communication efforts on personnel matters to key stakeholders, including the Academic Finance and Personnel Leadership group. Develops internal guidance that maintains consistency across academic units and establishes best practices for navigating technical aspects of personnel and budget processes in partnership with the Director of Academic Finance and Administration.
- Compiles, interprets, assembles, and presents academic personnel data and makes recommendations to executive leadership to aid in a data-driven decision-making process.
Financial Support:
- For both the Office of the Provost and departments reporting directly to the Provost, manages workflows in PageUp, Kuali Financial Systems, Concur, and HuskyBuy to ensure timely and accurate verification of payroll changes, purchase orders, available funds, and invoice processing.
- Assists in developing and managing assigned department/division budgets.
- Assists in managing the financial resources of the Office of the Provost and the Division of Academic Affairs. Incorporates and translates enrollment, diversity, and student success data used in resource allocation discussions.
- Assembles ad hoc reports on financial/HR/payroll data for use in budgeting new academic programs, initiatives, offices, centers, or institutes.
- Assists in coordinating annual budget hearings and subsequent resource allocation analyses, including preparing materials, summarizing requests, and providing data on current financials.
Financial Policy Support:
- Recommends methods of resolution and provides assistance to constituents by interpreting policies and procedures. Works closely with business units such as the Office of Budget and Planning, Institutional Research and Effectiveness, Payroll, Tax and Compliance, Human Resources, and University Business Services to maintain advanced understanding and interpretation of the University By-Laws, Relocation and Moving Policy, Reimbursement of Recruitment Expenses Policy, Policy on Re-Hired Retirees, and Faculty Compensation Policy.
MINIMUM QUALIFICATIONS
- Bachelor’s degree and 3 years of experience in an administrative capacity OR Master’s degree and 1 year of experience.
- Excellent organizational and problem-solving skills; exceptional attention to detail.
- Excellent oral and written communication skills.
- Competence using Microsoft Excel and PowerPoint.
PREFERRED QUALIFICATIONS
- Master’s degree in business administration, public administration, human resource management, or a related field.
- Experience working in a higher education setting.
- Experience in workforce planning, including managing hiring or compensation.
- Familiarity with applicant tracking systems, personnel databases, or customer relationship management software including PageUp, Microsoft Access, Kuali Financial Data Mart, or similar programs.
