The O’Neal School is hiring a full-time Receptionist to assist the administrative team in Bradshaw Hall. This person will be responsible for greeting and assisting all visitors and callers to Bradshaw Hall and assisting the administrative team with general office support. This is a full-time, benefits eligible position, and is classified as non-exempt for the purposes of the Fair Labor Standards Act.
Responsibilities:
- Communicate effectively and professionally with students, faculty, staff, parents, vendors, and other visitors to Bradshaw Hall (the School’s administrative office area). Respond to inquiries via email, telephone, chat, and in person. Answer all phone calls to the School’s main phone extension, provide assistance via phone, and transfer phone calls as needed.
- Serve as first point-of-contact for all visitors to the School’s administrative office, providing a professional and friendly greeting, and assisting with questions, procedures, and protocols. Contact staff members as needed to inform them of visitors.
- Distribute mail to mailboxes daily. On occasion, may be asked to assist with taking outgoing mail to and collecting incoming mail from the Southern Pines post office.
- Provide office support to faculty and staff including but not limited to assisting with copy machine, printer, and postage machine; faxing; scanning; maintaining files; and providing other daily support to personnel.
- Order office supplies, including serving as point person for copier / printer toner needs, maintaing adequate supply of copy paper, and maintaining other supplies needed for administrative team.
- Manage service requests for equipment including copier, postage machine, vending machines, water cooler, etc.
- Provide assistance for special projects, including but not limited to stuffing and labeling envelopes for mass mailings, light data entry, organizing gift donations, assembling packets, etc.
- Other responsibilities and duties may be assigned and added as needed.
Qualifications:
- A two-year or four-year degree is preferred, but appropriate work experience may be accepted in lieu of education requirements.
- At least three years of experience in an office setting. Knowledge of office procedures.
- Excellent verbal and written communication skills, including experience communicating with a population such as students, teachers, staff, parents, and vendors. Excellent interpersonal and customer service skills related to interaction with parents, students, and co-workers.
- Strong attention to detail, organizational skills, and problem-solving skills.
- Ability to handle sensitive issues and maintain confidentiality.
- Ability to take initiative and adapt to changing work environments and job responsibilities
