SUMMARY OF ASSIGNMENT
Under the direction and guidance of the Human Resources Manager, this position provides technical and administrative support in the areas of leave requests and accommodations requiring specialized attention under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), and Workers’ Compensation in accordance with Federal, State and local leave laws. This position is also responsible for fingerprinting employees, substitutes, and contracted agency staff for submitting prints for criminal background check to the Office of Superintendent for Public Instruction (OSPI) and Washington State Patrol. All the duties of this job classification require performance of activities that are of a highly confidential nature.
ESSENTIAL FUNCTIONS
- Process the FMLA leave administration from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
- Coordinate employee leaves with Payroll and Substitute Services.
- Maintains reasonable, compassionate, and clear communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees and their supervisors during leave within reason.
- Manage workers’ compensation claims in a timely and cost-effective manner while ensuring injured workers are receiving appropriate information and timely benefits as to work-related injuries.
- Act as a liaison to the Puget Sound Workers’ Compensation Trust (PSWCT) and working with district departments / personnel as necessary to successfully process claims.
- Administer the processing of the workers’ compensation claims and the return-to-work program; including conformance to applicable laws and regulations, preparing required reports and monitoring and evaluation the program activities to ensure the delivery of quality services.
- Maintains complete and accurate records of FMLA leave, Workers Compensation, and accommodation requests in accordance with specified legal requirements and documentation of best practices.
- Preserves confidentiality of employee medical documentation and files.
- Maintains knowledge of FMLA leave and accommodation laws including the FMLA, ADA, and state and local laws.
- Facilitates accommodation requests under the ADA.
- Accurately enters data of employee/contractor into the live-scan system prior to fingerprint session; scans classifiable fingerprints for each individual; completes required information on all fingerprint entries; ensures adequate quality of fingerprints.
- Maintains applicant records of a confidential nature for complying with regulatory requirements.
- Performs data entry and retrieval activities to enter or update and access fingerprint information in District or through other agency databases.
- Performs clerical duties including typing, filing, proofreading, copying, and distributing cards, forms, and memorandums.
- Operates various types of office equipment.
- Maintains fingerprint equipment; orders and maintains supplies.
- Monitors system entries for accuracy and timeliness.
- Responds to inquiries regarding information contained in fingerprint records.
- Participates as a team member and contributes to a positive work culture through crucial conversations, respect, and collaboration.

MINIMUM QUALIFICATIONS
Education and Experience
- BS/BA degree in human resources, office management, business administration or related field or work-related experience in a related field and one year of progressively responsible experience in one or more of the human resource fields, or
- AA degree in a related field and three years of progressively responsible experience in one or more of the human resource fields, or
- High school diploma with five years of progressively responsible experience in two or more human resource fields.

Pay: $68,919.00 - $84,718.00 per year
