Principle Accountabilities:
Responsible for performing clerical, reception, and administrative duties in physician practices. Displays maturity, flexibility, and effective organization and communication skills in dealing with other people. Works cooperatively with other departments and promotes teamwork within the department. Performs any or all of the following job duties in a physician office—check-in/registration, triage phone calls/electronic messages, and check-out (order entry, appointment/test/procedure/surgery scheduling, pre-certs, referrals, and prior authorizations). Maintains a pleasant, efficient, and well-organized working environment. Performs duties and responsibilities in a manner consistent with our mission and values.

Principle Accountabilities: % of Time Spent

  • May perform any or all of the following clerical and administrative job duties in physician practices. 90%

  • Check-in/registration (Greets patients and visitors, updates demographic and

insurance information, runs eligibility checks, verifies referrals/pre-certs, collects patient e-consents, takes patient photos, collects and processes copayments and other payments on account, distributes patient forms and scans updated forms into EMR, balances end of day payments and copay collections.)

  • Answers phones and processes electronic messages and e-faxes from patients, physicians, and facilities. Triages communications per department protocols. Responds back to callers, portal messages, and e-faxes per provider instructions and protocols. Schedules appointments.
  • Check-out (Schedules follow-up appointments, enters orders for tests, procedures, and medications. Schedules outpatient tests and procedures, obtains referrals and precertifications, as required. Verifies correct CPT and ICD-10 codes on all orders and pre-certs.

  • Runs daily administrative reports (ambulatory organizer schedule, Televox appointment 5% appointment reminder results). Enters no show charges from previous day, balances day sheet of payments collected, corrects patient-subscriber mismatches from billing queues.

  • Performs other work duties as assigned. 5%

Education:
High school diploma required, with some college preferred.
Experience:
Experience in a medical office or hospital department, or graduate of a medical assistant or medical administrative training program preferred. Basic insurance knowledge and EMR skills preferred. Good verbal skills required.

The assessment, care and treatment provided by the med secretary will be consistent with the specific age related needs of the patient. The med secretary is competent to care for patient age groups consistent with the specialties of the physician(s) in the practice.
