Job Summary:

ERII is seeking a qualified candidate for an immediate full-time job opening for the position of Front Office Coordinator, located in San Leandro, CA. This position reports to our Executive Assistant and will be responsible for serving as a liaison between multiple teams as well as supporting our Office Manager with other administrative tasks.

Major Duties & Responsibilities:

  • Operate telephone switchboard/ to answer, screen, or forward calls, providing information, or taking messages
  • Buzz visitors in and provide visitor badges when appropriate
  • Serve as the office liaison between staff and the facilities team
  • Coordinate logistics for client and internal meetings (greeting, ordering food/beverage, etc.)
  • Purchase all supplies and inventory (office supplies, janitorial and break room). Create a cost comparison shopping online, consistent ordering and cognizant decisions for quantities and sizes, and consistency of managing of upstairs and downstairs inventory. Maintaining semi-monthly order schedule for consistent timing of fulfillment requests.

  • Assist Office Manager with new hire workspace needs
  • Help maintain up-to-date company intranet page
  • Coordinate with service vendors as needed (shredding, alarm, cleaners, landscape, trash, phone, IT, cameras, or any other office maintenance needs)
  • Maintain clean office needs beyond cleaning service vendor
  • Manage mail, collect, sort, distribute, or prepare mail and or deliveries
  • Be professional, reliable and punctual
  • Serve as the vital member of the admin team
  • Serve as a resource for the Events Team and Department projects, as needed.
  • Update confidential company information in various programs such as TripActions and ZeroCater
  • Assist with Concur expense reports
  • Assist with travel requests (Jim)
  • Assist with events such as Thanksgiving, Halloween, and etc.
  • Re-structuring our mail system (scanning and sending documents as well as organizing current Mail Boxes
  • All other projects and duties as assigned

Required Knowledge and Skills

  • Candidate must have a High School Diploma or equivalent
  • Minimum of one year of experience in an administrative or hospitality environment with experience in fast-paced corporate setting exhibiting progressive levels of responsibility and project accomplishment.
  • Candidate must have exceptional customer service skills (“service with a smile”) and be able to greet visitors with a professional image/decorum.
  • Candidate must be detail-oriented, with strong administrative and organizational skills, and be a proactive, team oriented person who can anticipate needs and take initiative.
  • Strong teaming and interpersonal skills: Communicative, cooperative, respects confidentiality, friendly and professional, interacts well with wide range of people and establish strong and effective working relationships with inter-department employees, clients and vendors at all levels.
  • Ability to multi-task, work on numerous projects simultaneously and use sound judgment in prioritizing tasks to meet deadlines.
  • Manage assigned projects thoroughly and on time.
  • Excellent verbal and written communication skills to work with a broad spectrum of internal and external clients.
  • Excellent computer skills: Proficient in Microsoft Office Suite, Outlook, Internet applications.
  • Ability to interface with all levels of employees, demonstrating credibility, professionalism, discretion, and confidentiality in all activities
The below range is the range that we reasonably believe to be the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range and this range is only applicable for jobs to be performed in California. This range may be modified in the future. The salary range for this role is $30.00 to $37.00
