We are seeking an Operations Coordinator to help us facilitate and coordinate highly classified projects for the Advanced Systems Program within the Air and Missile Defense Sector’s Advanced Concepts and Warfighter Engagement Program Area. As a member of our team, you will play a critical role in planning, organizing and administering projects and working with cross-functional teams to facilitate program operations.
As an Operations Coordinator, you will…
Operate at a tactical, strategic, and operational level, planning and overseeing the operations of the Advanced Systems Program - in conjunction with the Program Manager and Project Managers – by forecasting, identifying and translating project support requirements into actionable plans and processes that you will implement and execute.- Coordinate and lead teams consisting of other JHU APL stakeholders (security, quality, communications, contracts, etc.) to align and arrange resources and support to ensure successful project execution; additionally, complete special assignments involving unique or complex requirements that involve the analysis of alternatives and development of solutions with other JHU APL stakeholders and/or government sponsors.
- Develop a strong understanding of the technical work being performed by the program – especially as it relates to program operations. Continuously monitor project activities and status rapidly identifying and communicating potential issues and courses of action to the Advanced System Program Manager.
- Independently prepare and organize information for program and project reviews, including content review of technical materials prepared by technical staff. Plan, coordinate, and support meetings for both internal and external participants and sponsors. Interface with sponsors and their representatives to collect presentation information, ensure clearances are prepared, coordinate scheduling, reservations and all other logistics, and attend meetings to prepare summary and note action items.
- Act as a resource to program management and technical staff guiding and advising them on program operations; on-board new project staff orienting them to Advanced System Program highly classified operations and procedures making them aware of best practices and resources available to them.
- Collaborate with Program Managers (PMs) and Financial Managers (FMs) to monitor and report on program performance; independently compile required inputs and ensure on-time delivery of contract deliverables.
- Assist in the administration of facilities and Information Systems working to ensure the needs of users are kept in focus and prioritized. Act as a Data Transfer Agent and Top Secret Control Officer (TSCO) or Assistant TSCO as required.
Qualifications
You meet our minimum qualifications for the job if you...
- Possess a Bachelor's degree in a business, technical or other relevant field.
- Have at least five years of demonstrated experience in project administrative support or technical support including business operations, financial planning, contracts analysis, procurement, property management or facility management.
- Possess experience with MS Office to include MS Excel, Word, and PowerPoint.
- Are willing and able to work on dynamic projects, have the ability to prioritize numerous concurrent tasks.
- Hold a Top Secret level security clearance and are accessed to at least one Special Access Program. If selected, you will be subject to a government security investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

- Have at least fifteen years of demonstrated experience in project administrative support or technical support positions at JHU/APL.
- Have at least fifteen years of demonstrated experience in industrial security regulations and federal security regulatory requirements.
