Job description
We are looking for an exceptional receptionist to join our team. Under the direct guidance of the Office Manager, the Receptionist is responsible for answering telephone calls, greeting, and directing visitors, managing incoming, outgoing mail, and providing general functional and office support for all Reliant Holdings and Partner entities.
Responsibilities:
- Answers telephone calls promptly and in a friendly, professional, and courteous manner. To the best of their ability, must be able to determine the callers need and transfer a caller to the correct individual; does not leave a caller on hold or unattended for more than 60 seconds; refers to voice mail when appropriate and/or takes complete and accurate messages when person called is unavailable; distributes messages in a timely manner.
- Greets visitors in a friendly and professional manner; determines their needs, notifies the person(s) being visited and if more than a 5-minute wait is likely offers and serves a hot or cold beverage; stays within the vicinity of the reception area at all times, when business necessitates absence for an extended period of time the receptionists is responsible for coordinating the absence with a designated back-up and/or the Office Manager during an absence. This includes not only the reception area but the phones as well.
- Receives and sorts all incoming mail, express envelopes, and courier deliveries; distributes mail to designated locations and/or coordinates pick up from other physical buildings within the main corporate headquarters site. In addition, logs UPS, FedEx and LSO packages in logbook, and coordinates delivery and/or pick up of express envelopes and courier deliveries with the intended recipient
- Prepares and posts all outgoing mail and express envelopes daily; logs outgoing express envelopes; arranges courier services.
- As customer payments are received via mail, prepares check deposit register and coordinates pick up of checks and register with the designated Accounts Receivable Specialist.
- Straightens and maintains orderly appearance of reception area
- Performs other routine clerical functions, such as but not limited to: Making coffee for occupied location only. Creating shipping labels & certified return receipts when needed. Orders UPS, Fed-Ex and LSO shipping supplies as needed. Responsible for placing postage on outgoing mail as needed. Coordinates with Office Manager onsite copier service as needed for all onsite copiers. Monitors supply inventory for office supply needs for occupied location only (Annex building); communicates supply needs with the Office Manager in a timely manner. Responsible for boxing up files and other beginning/end of the year activities
- Supports Other Reliant Company Functions as required, usual tasks but are not limited to: Scan and send vendor invoices received to Accounts Payable Group email and other support needs as designated by the Supervisor of Accounts Payable. Scan and send other received mail according to in office and remote procedures. Schedule Monthly Safety Meetings for the Pampa Office employees and reporting meeting attendance to the Safety department
Additional Responsibilities:
1. Assume other special activities and responsibilities from time to time as requested.
2. Adhere to company standards and maintains compliance with all policies and procedures
Job Type: Full-time
Pay: $14.00 - $20.00 per hour
