Receptionist/Office Administrator

We are seeking a full-time Receptionist/Office Administrator. Candidate must exhibit exceptional time management skills, attention to detail, accept direction, be customer service oriented, and skilled with technology. The primary responsibility of this position is to organize and ensuring smooth operations within the office. Always putting the client first, this position will be heavily dependent upon a positive attitude, solid work ethic, and desire to go above and beyond.
Some Key Responsibilities:
- Opening and closing office, per protocols
- Maintain and upkeep visitor facing-areas
- Greet clients and prospects when entering
- Doing phone tasks: answering, transferring, voicemail, virtual meeting set up
- Competently answer client questions
- Compliantly conduct administrative duties
- Learn to operate our proprietary technology
- Receive, sort, log daily mail/deliveries
- Maintain and update client information as needed
- Assist clients with completing forms and navigating our client technology tools
- Adding/sharing calendars, inputting appointments, scheduling/rescheduling appointments
- Keep CRM updated with appointments and client interactions
- Assist in company projects and meeting expectations with team members and management
- Copying, scanning, naming and filing various financial statements and other documents provided by clients/prospects
- Maintain office supplies, stationary, inventory, and beverage room supplies
- Support internal staff/events
- Assist with managing building maintenance projects
Skills:
- Detail oriented with superior organizational skills and ability to prioritize tasks
- Exceptional writing, interpersonal and client service skills
- Strong computer skills and knowledge of Microsoft Office products, spreadsheet capabilities are a must
- Ability to work independently and effectively with a close-knit team in a fast-paced, evolving environment
Job Type: Full-time
