School Coordinator
The School Coordinator is a part of The Ceramic League of Miami education and community engagement team. The position addresses the administration of CLM school which offers a range of classes for adults and children over the course of six, six-week sessions and Summer
Camp program for kids, as well as the management of school related equipment and materials.
SPECIFIC DUTIES & RESPONSIBILITIES:
MANAGEING, PLANNING & ORGANIZING
- Manage class schedule, posting, registration process, rosters.
- Work collaboratively with the Website Committee to keep website class listings updated and online registration process functioning smoothly.
- Conduct new teacher orientation on the procedures and policies of CLM to ensure safety of students, and maintenance of equipment.
- Conduct School staff meeting with all the teachers to create a collaborative teaching environment and good flow of information regarding school procedures, equipment maintenance/request, record keeping, suggest improvements, and any other relevant information.

CUSTOMER FOCUS & EFFECTIVE COMMUNICATION
- Manage all inquiries and correspondence by phone, email, post, or in person.
- Provide timely email/ text/ call notices to registered students regarding any relevant
School information, e.g., school closure due to severe weather and any other important information.
- Helps maintain an excellent and safe environment with guidance from the Building,
Health, and Safety Committee
OCCUPATIONAL
- Tracks inventory of all supplies and materials needed for class (clay, commercial glazes, chemicals, cones, tools, general, etc.), including Special Event needs
- Place order for clay, chemicals, tools, and other materials as needed
- Restock and order office supplies, as well as paper goods, trash bags and cleaning products.
- Assist with the set-up of classroom and shelf for class
- Keep track of gas firings for gas delivery needs
- Assists with deliveries and serviceman when needed
- Bending at the waist, sitting, kneeling, climbing, walking, crouching as the job may require
Finance Responsibilities
- Manage class registration process, payments, refunds, discounts, and gift cards payments per class, for each session and class roster.
- Prepare a financial report at the close of each class session and submit to the Treasurer,
President, and School Committee Chair.
KEY COMPETENCIES:
- Good written and oral communication skills
- Skilled at organizing and managing multiple projects and tasks going on concurrently with high attention to detail and excellent follow-through.
- Have an ability to analyze situations and information to make recommendations about improving procedures or reports
- Ability to work effectively with various personalities and working styles and with people at all levels of the organization, including staff, board, and members.
- Be trustworthy and able to handle confidential information
- Basic knowledgeable in Excel, Word, and Google drive
- Experience working in databases helpful
- Be independent and motivated – must be able to work effectively on a team while performing a substantial portion of duties independently.
- Possess an excellent work ethic, passion for the arts.
QUALIFICATIONS & COMPENSATION:
- Minimum of 1 years of office administrative experience
- Bachelor’s degree preferred
- Salary of $20,000/ 20 hr. weekly
REPORTING RELATIONSHIP:
This position works in partnership with CLM committees’ and reports to the
President/Executive Board/ School Committee Chair on all matters related to the job description and obtaining appropriate & final approvals.
WORK SCHEDULE:
The School Coordinator works 20 hours per week, on average. Normal hours for the position are 9 AM to 1 PM, Monday through Friday. These hours are the suggested ideal hours, but it will be up to the School Coordinator to determine their own schedule with the idea in mind to best fulfill the functions specified here. That said this is not a remote position. The hours worked must be onsite at the Ceramic League of Miami at the address listed below.
They/Them, will be expected to participate in a few special events that may occur outside of regular business hours; in these instances, hours are adjusted accordingly.

WORKING CONDITIONS:
This person must know the health hazards of working in a clay studio and take appropriate measures to be safe.
