Job Description

Reports to: Director of School Nutrition

Summary:
Provide hands-on administrative and operational support for the School Nutrition Department.

Job Type:
Full-Time, 10 Month (Mid-August - June), 35 hours per week

Duties and Responsibilities:

  • Provide administrative and operational support to the Director of School Nutrition
  • Notify the Director of School Nutrition of any difficulties or issues with the staff and problem solve as they occur.
  • Receive and handle all telephone calls, when possible resolve any calls and minor problems dealing with food service operations and parent concerns.
  • Prepare weekly payroll for review by the Director of School Nutrition and submission to the Payroll office; and Maintain payroll records for all school nutrition personnel including, but not limited to, employee absences, sick time use.
  • Prepare all Deposit turnover sheets from all school POS systems, online payments, catering, and vending.
  • Enter requisitions for purchase orders into MUNIS software
  • Prepare all invoices for payment and send them to accounts payable.
  • Place all food and paper orders as needed or required per ordering calendar.
  • Assist kitchen managers and storeroom keeper/driver with inventory of all food, paper, cleaning supplies and USDA foods.
  • Assist director in managing the operation daily including coordinating and assigning of all substitute workers
  • Process and mail/email low balances reports accounts in the POS system as needed.
  • Oversee data entry in the computer system for meal accounts.
  • Complete printing of all marketing materials, daily signage, monthly promotions for each school building.
  • Assist director in holding meetings with entire staff
  • Attend all mandatory in-service programs
  • Knowledge of POS Systems for all schools and ability to process all reports as needed and any training to staff as required or needed.
  • Assist where needed throughout the District, including substituting at schools if necessary
  • Work as a positive, productive member of the food service team. Assume a leadership role in a supportive and positive manner
  • Help create a harmonious working relationship with staff
  • Other duties as requested by the director of school nutrition.

Essential Knowledge, Skills and Abilities:

  • Flexible, and interested in working in a team environment
  • Excellent communication skills, both written and verbal.
  • Must be detail-oriented and organized
  • Knowledge of food service operations in K-12 programs.
  • Ability to assess and address issues in a timely fashion.
  • Ability to prioritize multiple responsibilities and manage them effectively
  • Strong interpersonal skills and ability to handle sensitive and confidential information.
  • Strong typing and computer skills
  • Proficient skills in MS Office Suite, Google Drive and Google Workspaces, and other Food Services related software programs.
  • Ability to work cooperatively with all stakeholders and with a diverse population.
  • Ability to work in the food service operation as needed in production, planning, and service.

Minimum Qualifications:
  • High school diploma or equivalent
    • Some college/post-secondary education preferred
    • Two or more years working in a school nutrition program highly preferred
    • Administrative assistant experience in a school or comparable setting preferred
  • Demonstrated interest working with children and in a school environment
  • ServSafe Manager certified (District will provide, as needed within 6 months of hire.)
  • MA Allergen certified (District will provide, as needed within 6 months of hire.)

The employee frequently is required to climb or balance, stoop, kneel, crouch, crawl or smell, stand for sustained periods of time, and occasionally required to sit.

The employee must regularly lift and/or move up to 40 pounds. Valid driver’s license.
CORI and SAFIS certified. Performs other responsibilities as directed by the Director of School Nutrition, which requires travel to five district schools.
