Position Summary
Huron is seeking a Senior Associate, Events to join our Corporate Marketing team.
Qualifications
Duties and Responsibilities:
Scoping, planning, and management
  • Collaborate with internal and external stakeholders to identify scope, goals, and logistical considerations for annual conferences, meetings, multi-day events, virtual events, and webinars
  • Lead the coordination and execution of events to ensure they are on-time, on-budget, engaging, and designed to deliver on programmatic goals
  • Develop event budgets in collaboration with project team
  • Develop comprehensive project plan and timeline for event deliverables
  • Maintain organization-wide event calendar including key industry events that require speaking and/or attendance
  • Lead venue selection and site visits
  • Stay current, and often ahead of the curve, on event planning, design, and production trends, proactively identifying and solving operational challenges
Contract & vendor management
  • Foster and maintain contacts with full complement of vendors to ensure consistent delivery of goods and services to meet event demands
  • Lead the negotiation of contracts with event venues and vendors (food, transportation, audio/visual, etc.)
  • Ensure full compliance with insurance, legal, health, and safety obligations
  • Anticipate and budget for audio visual technology needs, food & beverage, meeting materials, and equipment rentals
Event design, content support, and logistics
  • Lead event design and production, including catering, audio/visual, room layout, and special event and sponsor/vendor spaces
  • Oversee attendee experiences from conception through post-event, managing on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout all phases
  • Serve as on-site face of events and lead logistician; liaise with venue event contacts to proactively solve for emergent issues pre-, during, and post-event.
  • With hotel and vendor contacts, create Conference Event Orders, menus, accommodation(s) booking, and rooming lists
  • Coordinate our registration systems and serve as point of contact for registrants; liaise with finance team to set fees and issue refunds and problem-solve registration issues
  • Collaboratively develop robust, interactive virtual event platforms with Aventri Support Team, Information Systems, Sales Enablement, Learning & Evaluation, Coaching, and Marketing teams; primary responsibilities include providing supporting information such as speaker bio, speaker photos, event information, and engagement event information
  • Contribute to keynote selection, design of networking events, and content and event schedule development
  • Collaborate with Marketing team to ensure that all aspects of event(s) reflect the conference brand and theme; provide event information as needed to Marketing team for event promotion and contribute event expertise in review of Marketing materials
  • Manage selected speakers including all communication to speakers for the event and after the event, fielding special requirements and requests, and providing event updates as needed
  • Develop comprehensive event staffing plan; coordinate activities and travel for internal staff
  • Support development team in securing event sponsorships, coordinate sponsor recognition during event(s), and contribute to sponsor and partner relationship management
  • With Learning & Evaluation team, conduct pre- and post-event evaluations and report on outcomes
  • Ensure all events provide universal access to attendees, including accommodations including ASL interpretation, wheelchair access, assistive listening devices, closed captions, large print, etc.
Knowledge, Skills and Abilities:
  • Bachelor’s Degree in Event Management or related area preferred
  • At least 4 years event planning experience, design, production
  • Proven experience as an events planner or organizer
  • Excellent contingency-planning skills
  • Experience with virtual, hybrid, & in-person event design
  • Impressive portfolio of previously managed events
  • Experience with managing sponsors and sponsorship agreements
  • Excellent time management and communication skills
  • Ability to build productive, collaborative business relationships
  • Ability to manage multiple projects independently

The estimated base salary range for this job is $70,000 - $100,000. The range represents a good faith estimate of the range that Huron reasonably expects to pay for this job at the time of the job posting. The actual salary paid to an individual will vary based on multiple factors, including but not limited to specific skills or certifications, years of experience, market changes, and required travel. This job is also eligible to participate in Huron’s annual incentive compensation program, which reflects Huron’s pay for performance philosophy. Inclusive of annual incentive compensation opportunity, the total estimated compensation range for this job is $78,400 - $112,000. The job is also eligible to participate in Huron’s benefit plans which include medical, dental and vision coverage and other wellness programs. The salary range information provided is in accordance with applicable state and local laws regarding salary transparency that are currently in effect and may be implemented in the future.
