Purpose Statement

The job of Accounting Specialist- Internal Business Services is done for the purpose/s of performing responsible technical accounting support functions in the preparation, maintenance and processing of financial or statistical records or reports; and providing support for a variety of areas including payroll, benefits services, accounts payable, accounts receivable, Medicaid eligibility and billing, HIPAA, etc. as assigned.

Essential Functions

Assists with preparing financial and statistical reports for the purpose of providing required information and/or ensuring compliance with established procedures.

Compiles statistical and financial data (e.g. time sheets, levy/bond information, election data, payroll report information, etc.) for the purpose of providing information for recommendations and budgeting purposes.

Coordinates with other staff (e.g. data collection, year-end closing, payable/receivables, etc.) for the purpose of completing assigned duties accurately and in a timely manner.

Develops financial plan of funding for the purpose of determining funding sources for assigned programs.

Maintains inventory of office supplies for the purpose of ensuring the availability of items as needed.

Maintains a wide variety of fiscal information, files, and records (e.g. accounts payable, accounts receivable, purchase orders, invoices, billings, budgets, reports, time/travel expenses, etc.) for the purpose of providing an up-to-date reference and audit trail for compliance.

Participates in meetings, workshops, and seminars as assigned for the purpose of conveying and gathering information required to perform functions.

Performs general clerical functions (e.g. copying, filing, faxing, answering telephones, etc.) for the purpose of providing/maintaining required documentation and/or referring callers to appropriate personnel.

Prepares a variety of written materials (e.g. verification of employment, memos, invoices, reports, billings, letters, personnel action forms, daily/monthly/year-end reports, spreadsheets, account codes, budgets, etc.) for the purpose of documenting activities, providing written reference, conveying information and/or complying with financial, legal and administrative requirements.

Prepares and analyzes statistical and financial data (e.g. time sheets, grant information, cost allocations, payroll report information, etc.) for the purpose of providing information for recommendations and budgeting purposes.

Processes a variety of fiscal information (e.g. time sheets, Medicaid billings, invoices, travel forms, purchase orders, etc.) for the purpose of updating information and/or authorizing final action in compliance with accounting requirements.

Reconciles fiscal information and account balances as assigned (e.g. time and effort tracking, invoices, report data, insurance billings, travel expense vouchers, account codes, eligibility information, etc.) for the purpose of verifying accuracy of information and maintaining accurate balances while complying with accounting practices.

Researches discrepancies of financial information and/or documentation for the purpose of ensuring accuracy and adhering to procedures prior to processing for action.

Responds to inquiries from a variety of internal and external sources (e.g. staff, insurance companies, providers, county coordinators, county fiscal department and state agencies, vendors, etc.) for the purpose of providing information, direction, and appropriate referrals.

Serves as a resource to a variety of stakeholders (e.g. school district personnel, OSPI, county offices, the public, etc.) for the purpose of providing necessary information for completing transactions and taking appropriate action while complying with established fiscal guidelines.

Travels off site for the purpose of supporting program needs.

This position is 8 hours/day and 260 days/year. Benefits include Medical/Dental/Vision, Life/AD&D insurance, FSA/DCAP, LTD insurance, Retirement/DCP, EAP, Annual/Sick Leave and Holiday Pay.
