The Program Administrative Coordinator is responsible for managing Cal AIM, CLF and HomeSafe billing services and maintaining ongoing monitoring of invoice processing, and expenses for the Community Living Fund’s and HomeSafe ’s Purchase of ServicesESSENTIAL JOB FUNCTIONS:

  • Monitors and completes billing processes related to CalAIM/ECM participants and completes monthly reviews.
  • When indicated supports submission of ECM claims.
  • Provides administrative support to any new projects within CLF and HomeSafe that need accounting services.
  • Maintains communication with vendors regarding Purchase of Service Component of the Program.
  • Completes HomeSafe POS invoices as needed.
  • Responsible for managing Avidexchange and Netsuite bill submissions and invoice processing.
  • Responsible for administering the Business Card of the CLS division
  • Assist the team with Amazon order processing upon supervisor approvals.
  • Trains new accounting staff and support expansion of services.
  • Responsible for classification of expenses and monitoring program costs associated with expenses to ensure appropriate and total spending of budgeted monies.
  • In collaboration with CLF manager and HomeSafe Manager prepares reports for the Purchase of Service (POS) component of the program.
  • Submits monthly/quarterly/annual reports as required by funders and program operations.
  • Works in partnership with IOA Accounting to reconcile monthly program credit card purchases, invoices, and expenditures.
  • Provides IOA Accounting staff with relevant expenses for IOA general ledger and City & County of San Francisco invoices.
  • Communicates directly with CLF approved vendors to ensure timely and accurate billing.
  • Resolves discrepancies between vendor invoices and authorized payments.
  • Responsible for accounts payable systems for CLF within our electronic database, including reconciling client purchases for SF City & County, health plans, and state mandated dollar-to-dollar and cent-to-cent matching.
  • Processes reimbursements provided in collaboration with the IOA Accounting team.
  • Ensures POS requests are submitted in a timely manner via communication with Care Managers, Clinical Supervisors, and Program Manager.
  • Relays all relevant purchase information to MediCal Billing Specialist for Medi-Cal TARing and billing tracking associated with California Community Transitions and In Home Operations.
  • Establishes and maintain open and effective communication with colleagues, supervisors as well as community providers/vendors.
  • Attends and actively participate in CLF staff meetings and trainings.
  • Participates in Dept. of Aging and Adult Services (DAS) annual program audit providing relevant spending trends, expenses, and related purchase of service data.
  • All other reasonably related duties as assigned to support the operations of CLF and HomeSafe

MINIMUM QUALIFICATIONS AND EXPERIENCE:

  • Intermediate Microsoft Excel skills required (multi-sheet workbooks, cell formulas, conditional formatting, filter/sort, what-if analysis, etc.)
  • Ability to comprehend complex materials.
  • Ability to prioritize workflow and manage multiple and varied work.
  • Exceptional communication and presentation skills relating to accounting trends, variances, and expenditures.
  • Effective and efficient communication with clients, colleagues, supervisors, vendors, and other professionals.
  • Highly organized and detail oriented with good problem solving skills and strong analytical abilities.
  • Experience working in non-profit organizations preferred.
  • Bilingual preferred.

EDUCATION: Bachelor’s degree in Accounting/Business preferred.

COMPENSATION

  • Range: $ 27.30 - 31.73/hourly
