Summary

The Centralized Scheduler is responsible for facilitating the scheduling process for virtual care physical therapy appointments. They will obtain essential information for registration, insurance verification and scheduling. They will provide outstanding customer service and communicate effectively with all patients and providers.

Essential Duties and Responsibilities

  • Answers phone and replies to digital communications; takes and relays messages and digital communications in a professional, friendly and prompt manner.
  • Schedules patients for virtual care physical therapy services; ensures all aspects of the scheduling process are completed to optimize the patient experience.
  • Secures demographics, guardian and emergency contacts, guarantor and insurance coverage information upon initial connection.
  • Communicates with patients and clearly explains the Agile Virtual Care practices for insurance, copayments, and scheduling of appointments.
  • Accesses online insurance company portals prior to each patient’s first visit to verify their insurance coverage. If benefits cannot be verified online, they will follow the determined process to obtain insurance coverage via the Central Insurance Verification team.
  • Communicates with patients to clearly explain what services will or will not be covered under their insurance.
  • Meets productivity requirements for appointment events, registration errors, orders work queue, and others as identified by department leadership.
  • Assures compliance with Federal / Medicare guidelines and company compliance policies.

Qualifications/Skills

  • Associate Degree or college level business course preferred.
  • Strong understanding of health insurance authorization processes.
  • Established proficiency with the internet and online resources.
  • Demonstrated thoroughness and attention to detail.
  • Proven ability to handle multiple responsibilities simultaneously.
  • Availability to flex hours to accommodate patient appointment requests in various times zones, including evening and weekend hours as needed.
  • Confirmed proficiency with Microsoft Office products and other software programs as necessary to effectively prepare appropriate analysis and reports.
  • Demonstrated excellent communication skills, both written and verbal, to effectively interface and maintain effective relationships with all levels both internally and externally.
  • Demonstrated process improvement skills.
  • Ability to work in an ambiguous, fast-moving environment while successfully attaining timely deliverables.
  • Strategic and self-directed with sound judgment, technical and analytical abilities.
  • Use of sensitive information in a confidential and discretionary manner.
