Position Summary:
The Executive Assistant is responsible for providing high level support to executive leadership in all aspects of the daily work activities in a professional and courteous manner. The Executive Assistant is also responsible for supporting board governance with meeting agendas, logistics, and minutes. The Executive Assistant will exercise discretion and independent judgment on matters of significance for leadership and the organization.

Responsibilities:
Provide administrative support to Executive leadership which includes but is not limited to:



  • Support board governance through preparation of board meeting agenda and meeting materials, running the presentation, taking meeting minutes, and supporting the executive team with necessary follow-up.
  • Communicate professionally with board members, including utilizing their administrative contacts when appropriate. Ensure board member details are up to date in all systems and that requested communication with board members in advance of board meetings occurs.
  • Plan off-site board meetings including meeting logistics, travel arrangements, and drafting board communications with necessary details.
  • Anticipate needs and ensure the executive is prepared for meetings and other responsibilities.
  • Increase the efficiency of the executive through project support and organizational skills. Manage deadlines and offer guidance on deadline management as appropriate.
  • Coordinate and oversee high level projects and critical tasks.
  • Set and keep daily agenda of executive team. Schedule meetings as requested within provided constraints.
  • Perform executive timecard curation and review of the timecards of executive team direct reports as requested.
  • Draft / proofread confidential communications including correspondence.
  • Prepare expense reimbursements and corporate credit card reconciliation.
  • Handle travel planning and travel arrangement needs, including complex arrangements and itinerary development.
  • Attend requested meetings to support meeting management and/or provide meeting minutes.
  • Other duties as assigned.
Experience/Requirements:
  • Associate's and/or bachelor's degree in Business Administration or a related field preferred; High school diploma or GED required.
  • Minimum 4 years work experience providing administrative support preferred.
  • Experience support board meetings and interacting with board members strongly preferred.
  • Highly efficient in Microsoft Suite, including Outlook, Word, Excel, and PowerPoint.
  • Ability to work independently with minimal supervision.
  • Strong organizational and problem-solving skills with impeccable multi-tasking abilities.
  • Effective verbal, written and interpersonal communication skills.
  • Ability to maintain a high level of professionalism and tact.
  • Strong attention to detail.
  • Ability to meet deadlines.
  • Experience in adapting to an evolving organization and changes in priority.
  • Ability to uphold a strict level of confidentiality.
Physical Requirements:
  • Ability to work on a computer for extended periods of time.
  • Ability to stand or sit for extended periods of time.
  • Extended working hours and overnight travel may be necessary on occasion.
  • Light work requiring exertion up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
  • Ability to work from La Vista, NE office with reliable and predictable attendance.
