About the Position


The Milken Institute is looking for a Business Analyst / Project Manager (BA/PM) to join our technology team in our Santa Monica office. The BA/PM will play a key role in expanding our digital transformation by leading, planning, coordinating, and implementing assigned technology projects according to the identified specifications and timeline. The ideal candidate will be responsible for capturing business requirements and executing each initiative following the established project management methodology.


Responsibilities include planning, scoping, requirement gathering, analysis, project oversight, and post-launch support. In addition, they will need to understand and assess the changing needs of the business by analyzing the impacts of change and capturing the requirements needed to initiate a change.


Responsibilities


  • Develop and manage all aspects of the project, from scope, planning, communications, change management, risks, and issues.
  • Define the objectives and scope of the business system. Work closely with stakeholders and end users to determine the best business process approach.
  • Assist with developing project management and business analyst standards for the IT department.
  • Sets and track project milestones, manages and account for unforeseen delays, and realign schedule, scope, and resources to meet expectations.
  • Utilize a project management tool that tracks risks, actions, issues, and decisions.
  • Establishes and implements project communication plans, providing status updates to affected staff and stakeholders.
  • Collects, analyzes, and summarizes information and trends as needed to prepare project status reports.
  • Report on project success criteria, results, and metrics and provide status reporting regarding project milestones, deliverables, dependencies, risks, and issues.
  • Organize and manage all phases of the project to ensure on-time completion.
  • Communicate with stakeholders, including IT managers, vendors, and executive leaders.
  • Clear communication and stay-the-course mentality.
  • Organize meetings in a collaborative setting to discuss project goals and progress.
  • Documentation of processes and configurations and commitment to quality and timeliness
  • Adherence to best practices in project management, requirements accountability metrics, roles, and responsibilities.
  • Engaged in all aspects of the project life cycle, adhering to project scope, set schedules, assess and report risks, run daily scrums, and more.


Qualifications


  • Bachelor’s degree in information science or related fields.
  • Minimum 5+ years of managing technology projects.
  • Ability to successfully handle multiple concurrent projects.
  • Certified Project Management Professional (PMP) is preferred.
  • Excellent experience in SDLC Methodologies, Agile, SCRUM, SDLC / Waterfall.
  • Agile Scrum Master Certification is preferred.
  • Proficiency in using JIRA software and Confluence to manage all IT requests.
  • JIRA Development and enhancement are preferred.
  • Demonstrated understanding of Project Management processes, strategies, and methodologies while applying analytical thinking and problem-solving skills.
  • Broad understanding of IT processes, including security, systems, networks, cloud computing, programming, and scaling various aspects of IT processes.
  • Excellent time management and organizational skills and experience establishing guidelines in these areas for others.
  • Strong sense of personal accountability regarding decision-making and supervising department teams.
  • Experience working in a high-level collaborative environment and promoting teamwork.
  • Proven customer service skills include building relationships and responding to customer needs.
  • Outstanding communication skills, influencing abilities, and client focus.

This position will be working a hybrid model, where you will be expected to report to your respective office location 3-days per week (Tuesday - Thursday), this is subject to change.
