The Opportunity: We have an exceptional opportunity for the right individual as a Lease Administratorlocated on-site in our North Dallas office.

The Lease Administrator will be responsible for corporate tenant-occupier Client(s) real estate account administration and operation, including the lease administration services and database management and the ability to expand into AP/AR, reporting and audit services.

Specific job responsibilities may include (but are not limited to):

  • Establishing and maintaining strong working relationships with Client(s), Landlords, and Transaction Manager(s)
  • Serving as a member of the transition team to get a new account up and running quickly and smoothly
  • Abstracting lease documents in a variety of formats and real estate asset types, including international leases
  • Preparing and auditing lease abstracts through careful review of Client(s) legal documentation
  • Maintaining Client(s) real estate portfolio utilizing ManagePath (proprietary software) to ensure accurate data and up-to-date information
  • Liaison between Client and Landlord(s) for facilities maintenance issues and Landlord requests
  • Working with Client and/or Transaction Manager(s) to design, prepare and distribute monthly, quarterly, year-end reports in a timely and accurate manner, utilizing various software programs that include Excel, PowerPoint, and Word
  • Creating various ManagePath ad-hoc reports in a timely and accurate manner
  • Identifying and monitoring lease options and critical dates such as renewals, terminations, and lease expirations through move out, and collaborate with Transaction Manager(s) to collectively respond to Clients’ real estate portfolio needs
  • Liaison between Client and Landlord(s) and/or Subtenant(s) to track rent payments and rent receivables.
  • Providing Income Administration services to include, but not limited to, Subtenant billing, calculating reimbursable expenses and additional expenses, and generating monthly invoices
  • Processing Client(s) rent rolls utilizing ManagePath database
  • Reviewing and submitting Common Area Maintenance, property taxes and other property invoices.
  • Performing year-end reconciliation desktop audits for additional rents, including but not limited to CAM/OPEX , RET and Insurance
  • Communicate with Landlord(s) to resolve any issues identified during year-end reconciliation desktop audits
  • Reconcile and process monthly recurring rent and one-time payments, rent reconciliations, rent roll changes, CPI or percentage rent adjustments and end-of-year reporting
  • Ongoing and frequent Client interface to maintain relationship, answer questions, discuss upcoming critical dates, verify payment amounts, etc.

Skills and Experience:

  • Recent graduate with a degree in accounting, finance, economics or English
  • Lease administration or accounting experience preferred
  • Knowledge of the lease administration process, lease terminology, and lease clauses
  • Ability to quickly learn data entry and reporting using software platforms / databases
  • Ability to complete projects under pressure in a timely and accurate manner
  • Ability to manage multiple tasks and client requests simultaneously
  • Experience in working with internationally based partners to coordinate projects and delivery deadlines
  • Excellent attention to detail and extremely organized
  • Strong Microsoft Office proficiency (heavy emphasis on Excel, Word, and PowerPoint)

Qualifications:

  • Bachelor's degree preferred
  • Strong oral and written communication skills
  • Experience working as a team

Job Type: Full-time

Pay: $40,000.00 - $48,000.00 per year
