POSITION OVERVIEW

The Office Manager for The Rock School Center in Philadelphia and The Rock West in Westchester, PA. will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, office staff and volunteer supervision, and task delegation. The successful office manager is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.

OFFICE MANAGER DUTIES AND RESPONSIBILITIES

  • Organizational supportPoint person for maintenance, mailing, shipping, supplies, equipment, bills, and errands

Organize and schedule meetings and appointments
Organize office operations and procedures
Coordinate with IT department on all office equipment
Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
Provide general support to visitors
Assist with meeting requests
Allocate tasks and assignments to subordinates and monitor their performance
Remain updated on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals, and reviewing of industry publications
Assist with projections relating to financial reports
Design and implement filing systems
Oversee adherence to office policies and procedures
Coordinate schedules, appointments, and bookings
Monitor and maintain office supplies inventory
Handle customer inquiries and complaints
Manage internal staff relations
Maintain a safe, secure, and pleasant work environment

  • Customer serviceAssist in setting up school classes using registration software.

Monitor and and assist with communications toward accounts receivable and accounts payable

  • Employee supportCompleting analysis of the employee expenditures

Maintenance of employee personnel records.
Preparing registration reports as requested for Director.

  • Marketing/communicationsAssist with creation of weekly email updates to all customers in both school locations

Assist with coordination of social media posts for Rock West

  • Ability to work independently
  • Other duties as assigned

Throughout its 30-year history, the School has developed dancers for most premier dance companies around the world, as well as Broadway and London’s West End. Rock students have competed and received honors in the Prix de Lausanne, Youth America Grand Prix, World Ballet Competitions, USA International Ballet Competition, Moscow IBC, and Berlin Tanzolymp. The faculty includes distinguished dancers, instructors, and choreographers serving more than 1,200 students. The Rock School is proud to award more than $700,000 in annual scholarships.

OUR COMMITMENT TO COMMUNITY

The Rock School's multi-faceted outreach program, RockReach is the most extensive dance and movement community outreach program in the Philadelphia region. The program annually touches the lives of over 26,000 underserved children through multiple components: in-school and after-school residencies, which include 36 weeks of high-quality, twice-weekly dance instruction integrated into each participating school's curriculum; Dynamics of Dance, school-wide interactive, energetic performances by Rock School students; City Dance, a long-term scholarship program for students of low-income families; and free tickets and transportation for 1,200 RockReach students to the annual holiday production of Classic Nutcracker.
