The College of Forestry is seeking a Program Manager for Inclusive Excellence & Tribal Initiatives. This is a full-time (1.00 FTE ), 12-month, professional faculty position.

The College of Forestry at OSU is looking for an Administrative Assistant to our Associate Dean of Inclusive Excellence. They will be able to manage multiple projects simultaneously and have a strong attention to detail. This position provides confidential administrative and project management support to the Associate Dean for Inclusive Excellence and Director for Tribal Initiatives in the College of Forestry (CoF). CoF and the Forest Research Laboratory (a Statewide Public Service unit) have a mission to provide undergraduate/graduate instruction, conduct research and provide outreach programs.

This position utilizes a thorough background and understanding of the mission, responsibilities, policies, goals, and philosophies of the College and the outreach, education, and research mission of the unit to work effectively with internal and external stakeholders as the initial contact for administrative and program matters as presented by other college/university administrators, Federal and State leaders in forestry and natural resources, Federal and State legislators, Sovereign Nations, tribal communities, forest industry executives, related non-governmental organizations, and alumni and donors. Proper performance of duties is critical to the missions of supporting the social requirements, educational needs, and the economy of Oregon.

Position Duties
50% – ADMINISTRATIVE SUPPORT :
  • Responsible for the day-to-day continuity of the activities of the Associate Dean for Inclusive Excellence and the Indigenous Natural Resources Office.
  • Screen inquiries, greet guests, coordinate calendars and meetings, make travel and catering arrangements, and ensure Associate Dean’s calendar and communications are accurate and organized. Utilize calendar and scheduling software (Outlook) to schedule appointments/meetings. May include coordination within the administration team, other OSU personnel, colleagues and stakeholders outside OSU, including the general public, state agencies, Sovereign Nations, tribal leaders, research partners, etc.
  • Arrange and coordinate meetings, conference calls and video meetings as requested, including arrangements for site visits, transportation, technology, catering, and preparation of meeting agendas, materials and supplies. Take notes and follow-up on action items for all assigned projects to ensure deliverables, expectations, and goals are met. Attend events and assume responsibility for hosting/greeting as assigned.
  • Read and screen communications, including phone, email and mail, maintaining confidentiality of the office. Complete or redirect tasks when appropriate to ensure prompt response. Prioritize all communications for Associate Dean attention, and alert them to critical and urgent needs. Represent the Associate Dean and the College tactfully, professionally and with cultural competence.
  • Identify topics or issues that need to be addressed by the Associate Dean, including those topics that overlap between units and organizers; facilitate discussion amongst needed personnel and ensure timely resolution.
  • Utilize Microsoft Office Suite with emphasis on Outlook, Word, Excel and Power Point and related software such as Adobe Acrobat Suite to independently compose, maintain, and process daily correspondence and meeting preparation for Administrators in the form of letters, memoranda, documents, presentations, and various reports, maintaining confidentiality as required. Draft confidential correspondence for Administrators.
  • Review, check for accuracy, and collect signatures on all documents and proposals This may include DocuSign or via PDF; maintain and organize relevant electronic files for signed documents.
  • Ensure Indigenous Natural Resources Office is represented well to all guests, including creating a welcoming space, hosting, and maintenance of physical space. Be collegial and supportive of coworkers and students, assist in productive problem-solving, and foster a sense of community within the College.
  • Develop and maintain filing systems (both locally and cloud-based) to coordinate and provide essential background information on individuals, partners, organizations, meetings, and related activities, maintaining confidentiality as required. Collect data from a variety of sources as needed to keep information current.


40% – PROJECT AND EVENT MANAGEMENT :
  • Serve as project manager for the Diversity, Equity, and Inclusion Workgroup and liaise between the College and the DEI Workgroup to coordinate activities and provide clear communications.
  • Assist with the development of projects, events, and initiatives related to inclusive excellence and serve as project manager to ensure deadlines are met and goals are achieved; ensure collaborations meet the needs of the Associate Dean, the College, the University and partners. Assess outcomes and take initiative to make appropriate course correction.
  • Manage events from inception to completion, including, but not limited to: arrange and secure event locations; select catering and negotiate menu selections; manage invitation and accurate guest list; assist stakeholders with travel and lodging reservations; provide presentation support; gather and prepare event materials (agenda, program, script, etc.); distribute applicable event material to participants; arrange live streaming and recording of programs; attend events to ensure the smooth flow of all steps, and/or ensure proper supervision is arranged; resolve unexpected circumstances during events; supervise clean-up activities. Serve as event support for any questions that arise from attendee’s, guest speakers, etc.

10% – SUPERVISION AND SERVICE :
  • Supervise one classified or professional staff position and 2-5 temporary field technicians.
  • Supervise student employees conducting office support, including assigning and evaluating work.
  • Participate in College activities, committees, and workgroups.
  • Participate in a minimum of one workshop/activity/training annually (as approved by supervisor) that enhances the commitment to justice, equity, diversity and inclusion; provide supervisor with a short report on how new knowledge will be applied to day-to-day work.
  • Other duties, as assigned or approved.
Minimum/Required Qualifications
  • Bachelor’s degree in social sciences, forestry, natural resources, communications, Indigenous Studies, or related field and three years’ professional experience effectively managing an office or budget for a program or business, OR an equivalent combination of education, training, and professional experience.
  • Professional experience providing administrative support for a senior leader or executive.
  • Demonstrable skill in managing complex projects to meet goals and deadlines, and in ensuring attention to detail.
  • Demonstrable skill in communicating successfully with a variety of audiences and a commitment to providing excellent customer service.
  • Demonstrable strength in MS Excel and various software packages such as Microsoft Office Suite (Word, Outlook, PowerPoint); ability to quickly learn and use a diverse set of campus administrative tools (e.g. BANNER, Benny Buy/Hire, Canvas, CORE, DocuSign, Drupal, Nolij, Zoom, Qualtrics, Box) and various electronic payment processing systems.
  • Demonstrable commitment to promoting and enhancing diversity.
Preferred (Special) Qualifications
  • Demonstrated awareness of and respect for Native American cultures and their values.
  • Experience supervising students.
  • Training or education in accountancy.
  • Event planning experience.
  • Previous experience working in higher education.
  • Ability to maintain confidentiality and utilize professional acumen.
  • Experience working in organizations with centralized services.
  • Ability to work with minimal supervision and in a fast-paced environment where priorities and deadlines may change.
  • Project Management experience or education.
  • Experience managing human resources.
Working Conditions / Work Schedule
  • Occasional evening and weekend work may be required to attend events or meet project deadlines.
  • Requires occasional on-campus (on foot) and off-campus deliveries, errands, or meetings.
  • Occasionally requires the ability to lift up to 20 pounds.
