Overview:

The PepsiCo Foods North America Global Business Services is a dynamic organization that works with all US based functions and multiple Global hubs to support internationally centralized work.


This position is part of PepsiCo Foods North America Finance organization.


We are looking for a passionate, results-oriented individual who thrives in a fast paced, entrepreneurial environment to work on the North America Global Business Services team. The Senior Administrative Assistant contributes to the efficient day-to-day operations for the US based team and supports travel for both the US team and PEP Global Business Services international visiting employees. This position directly supports our Sr. VP of Customer Finance.
Responsibilities:

The Sr. Administrative Assistant responsibilities cover a range of duties including but not limited to:


  • Calendar management for Sr. VP of Customer Finance, including scheduling key meetings with Sector and HQ executives, and internal and external business partners both domestical and international
  • Coordinate domestic and international travel for the CCO team. Manage expense reporting, ensuring accurate T&E, SAP, P-card submissions, and reconciliation
  • Provide critical coordination support for executive and coordinate with direct reports (and their administrative support) enabling broader team cohesion
  • Coordinate staff meetings and internal and external events as needed; supporting team cadences / meetings (e.g., notes / prompts for agenda items; proactively updating recurring events)
  • Ensure Plano-based team operational success via new hire onboarding support, overseeing needed supplies, processing, and reconciling invoices to purchase orders, and secure appropriate approvals
  • Manage, update, and appropriately communicate departmental documents (i.e., weekly itinerary, organizational announcements, DL lists, service anniversary lists)
  • Maintain content, accuracy, and visual organization of files (or informational databases)
  • Prepare and handle confidential and personnel information with the utmost trust, interface appropriately with many internal and external clients, and senior executives
Support team rewards and recognition programs, engagement committees and events
Qualifications:
  • 5+ years of executive administrative support experience is a must
  • Proven track record of managing multiple and competing priorities
  • Must be highly organized, pay close attention to details and proactively follow-up
  • Ability to anticipate needs and issues and act accordingly in addition to exhibiting good judgment
  • Ability to manage workload in a fast-paced and high-intensity work environment
  • Must be able to flex schedule to meet work demands (ex. early mornings, after hours)
  • Must be proficient in Microsoft Office suite (Outlook, Word, Excel)
  • Must have strong communication, interpersonal, time management, and problem-solving skills.
  • Ability to make clear and timely decisions
  • Ability to develop a work schedule, set goals, create/implement action plans and monitor progress
  • Must display professional maturity and ability to support and interact with all levels of management
  • Proficiency with business technology (e.g. web conferencing, SAP, portals, etc)
  • Proficiency in the use of office equipment such as a computer, voice messaging and digital multi-functional devices (fax/copier/scanner/printer)

Compensation:

  • The expected compensation range for this position is between $50,000 - $75,000 based on a full-time schedule
  • Location, confirmed job-related skills and experience will be considered in setting actual starting salary
  • Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement
