Description
Reporting to the Director of Operations, the Marek Health Virtual Medical Assistant is team- based role supporting the sales team and maintaining operational metrics. This role is vital for maintaining our professional and efficient business operations. The ideal candidate will provide support for Marek Health’s expanding enterprise and technologies. This position will begin with
Day to Day Responsibilities and will progress into a rotation covering different responsibilities assigned to the team.

Required Skills to Apply

  • Associates Degree or equivalent experience in Business, Management, Sales, or

Communications

  • Strong working knowledge of Google platforms (Gmail, Calendar, Drive, Sheets, etc.);

CRM and Zoom system experience preferred

  • Candidates will need to have excellent verbal and written communication skills
  • Strong organizational abilities and time management skills
  • Ability to liaison between internal and external stakeholders
  • Candidates are expected to have an exemplary work ethic, be well-presented in a physical and virtual work environment while maintaining professionalism

Position Responsibilities

Day to Day Responsibilities
Main Task 1 - Order Placement

  • Creating orders for patients within vendor specific portals and systems
  • Comfortable with data entry (sales figures, operational metrics, etc.)
  • Taking minutes during ad hoc or scheduled meetings
  • Processing customer credit cards and payment methods
  • Creating training materials or process flow documents

Main Task 2 - Communication with clients * Answering incoming patient calls, taking messages, and directing calls to appropriate internal staff

  • Responding to email inquiries
  • Possess an influential and welcoming communication style
  • Calendar management and arranging appointments, booking patient consultations, and company meetings
  • Maintaining customer data in all company used systemRotating Responsibilities - Rotation among all Back Office Staff/Virtual Medical

Assistants
Main Task 3 - Order Issues

  • Providing administrative support to patient care coordinators and senior management
  • Organizing, Communicating and Completing order claims (missing items, damaged items, etc)
  • Collaborating with Sales Team and Providers to clarify orders

Main Task 4 - Order Clarifications/Logistics

  • Creating and maintaining orders and the logistical tracking process in each pharmacy portal
  • Communicating with each vendor pharmacy portal to clarify any questionable medication orders
  • Detail - Oriented review of medications orders, demographic information and shipping address

Additional Responsibilities * Remains HIPAA compliant and represents the company in a unified fashion
