Prime Home Developmental Disabilities Services (PHDDS) is accepting applications for a well-rounded, skilled, and experienced administrative assistant to join our organization. You will work onsite, directly with our office staff, at our Day Service location at 981 Patricia Dr., Papillion, to ensure all administrative tasks are efficiently and effectively implemented. Must have strong interpersonal skills, the ability to manage multiple tasks at once, and a wide breadth of experience managing details. Hours are 7:45 AM– 3:45 PM, Monday – Friday. Accrue up 88 hours of PTO in year 1, 7 paid Holidays, medical, dental and vision plus other benefits at minimal cost to the employee.

The ideal candidate will help PHDDS improve the way the community cares for individuals with disabilities and open doors for more independence, community inclusion, meaningful relationships and fulfilling life experiences.


WHO WE ARE


We have four day service locations that are growing. We have 3 in Papillion and 1 in La Vista. Each building has a unique vibe as the individuals we serve are actively involved in daily activities. We offer a variety of programming in the Sarpy County and Omaha Metro to adults with intellectual and developmental disabilities.


Responsibilities:


  • Welcome all job applicants, contractors, employees, vendors and visitors by greeting them in person, answering inquiries, provide problem resolution and direction
  • Answering, screening and directing telephone calls with professionalism
  • Scheduling appointments/calendar management (including coordination of logistics as necessary, notices, support materials, meeting room, etc.)
  • Taking minutes at assigned meetings
  • Prioritizing and managing multiple tasks to meet deadlines
  • Maintaining an accurate and up-to-date filing system
  • Processing applications with speed and accuracy
  • Manage large amounts of information
  • Maintain a neat and clean work environment and professional appearance, and adherence to relevant health and safety procedures
  • As needed, work 1 on 1 or in small groups to support individuals and assist them in being independent

Qualifications:


  • 3-5 years of administrative support experience
  • Contagious and positive work ethic, inspires others, and models the behaviors of genuine, caring, friendly
  • Pursues tasks with focus and drive, defines work in terms of success, and can be counted on to complete goals
  • Ability to manage multiple priorities and quickly adapt to changes
  • Competent in organizational, time management skills
  • Excellent computer skills including Microsoft Office (PowerPoint, Outlook, Excel) with the ability to learn new applications
  • Demonstrate good judgment, problem-solving and decision-making skills
  • Demonstrates effective verbal and written communication that is clear, well-organized, and demonstrates an understanding of audience needs
  • Ability to handle confidential information and set priorities
  • Experience managing applicant tracking software preferred
  • Experience in onboarding new employees preferred
  • Experience in creating a social media presence, website (Word Press) and/or marketing preferred
  • High school diploma, or equivalent, is required; additional education preferred
