PURPOSE AND SUMMARY STATEMENT

This position is accountable for the performance of administrative functions, varied secretarial and related clerical work requiring a working knowledge of the operation and organization of the company and a detailed knowledge of its operations. Administrative assistant will be responsible for all billing and questions that customers might have.

ESSENTIAL JOB FUNCTIONS

Provides efficient administrative services for the General Manager, Senior Sales Leader, and Plant Manager as required, including word processing, filing and message management follow-up.

Maintains all filing requirements of the company, including bringing forward files and following up with other staff to respond to information requests.

Works with General Manager and Controller directing reports to respond to queries or direct telephone calls to the appropriate staff.

Arranges some of the meeting and trainings at the Stockton facility.

Maintains confidential records, as assigned.

Responsible for completing the Weekly/Monthly Reports in a timely manner for review by the General Manager and Controller.

Responsible for completing all Monthly and Quarterly Reports for the General Manager and Controller.

Reviews and codes suppliers’ invoices for payment within approved signing authority.

Responsible for all Stockton customer billings in the following departments: Crops and Energy.

Administers payroll by receiving and checking time cards, and preparing payroll input sheet and e-mails to the main office.

Assist Plant Manager with entering of all vehicle maintenance files on appropriate vehicle database.

Assist Plant Manager with current regulatory records pertaining to NH3 Storage Tanks and nurse tanks/toolbars.

OTHER JOB FUNCTIONS

Greets all walk-in and call-in customers, and displays genuine sincerity and concern for all customer needs.

Supports company credit policy by checking credit status of prospects prior to any sale and explaining policy to any customers.

Perform all responsibilities within company policies and guidelines, such as, use of purchase orders, petty cash, and purchasing office supplies.

Attends meetings as requested for updates and trainings.

Must be willing and able to work at any other location/department when requested.

Performs all other duties as assigned and is willing to work above the normal range of weekly hours in order to meet our customer and company needs.

REQUIREMENTS

Education and Experience

Normally requires 3 or more years of secretarial experience serving the needs of 2 or more staff members. A high school diploma is necessary, a college diploma is preferred.

Functional Skills

Proven computer skills in word processing, graphics and spreadsheet applications.

Demonstrated professional communication and organizational skills with the ability to maintain strict confidentiality.

Requires excellent interpersonal and communication skills and a positive customer service attitude at all times.

Demonstrated core skills including business knowledge, collaboration, communication, customer focus, decision making and skill development.

Other Requirements

Displays sound judgment, positive attitude, and enthusiasm in dealing with customers and fellow employees.

All employees are required to take random drug and alcohol screenings upon requests.
