We are hiring immediately for an Administrative Coordinator to join the UTHealth Department of Biochemistry and Molecular Biology in Houston, TX 77030. Position Summary:

Provides general business and financial operations support to the Department of Biochemistry & Molecular Biology under general supervision. Makes moderately complex business process decisions requiring a comprehensive knowledge of a wide range of regulations, policies, procedures and business practices.

Position Key Accountabilities:

  • Assists faculty in planning and coordinating weekly department research seminars for local and out of town guest speakers and internal workshop presentations. This involves communicating with incoming guest speakers to gather information to set up Vendor ID, booking hotel, maintaining speaker and expense logs, corresponding with faculty, lab researchers, guest speakers, and following seminar and workshop guidelines. Furthermore, this position would create and post flyers, schedule/order meals, setup and cleanup meal events, and process official function forms.
  • Assist with planning and coordinating annual department functions, such as annual research retreat, annual holiday party and research symposiums, as needed.
  • Assists in poster printing for research presentations and conferences.
  • Assists in annual equipment inventory and annual space survey.
  • Assists with new and separated employees and visitors in the areas of: badge access/inactivation; key distribution and collection; managing departmental pictorial directory and department contact lists.
  • Coordinates and schedules Human Resources activities including recruiting and selection for classified staff.
  • Schedules meetings and rooms, invites participants, and arranges refreshments and equipment as needed. May prepare and distribute meeting minutes.
  • Maintains office supplies and equipment.
  • Screens calls and emails and receives and directs visitors. Distributes mail.
  • Assists with parking contracts, long distance codes and copier codes for new employees.
  • May serve as administrative liaison with others within and outside assigned areas regarding business and financial issues on purchasing, personnel, facilities and operations.
  • Assigned routine budget and financial responsibilities by supervisor. Maintains and reconciles financial records/reports. FMS training with a passing score is required. Limited signature authority.
  • Advises on financial and business practices, policy and procedures as assigned by supervisor. Is responsible for making routine business and financial decisions and judgment calls.
  • Other duties as assigned.

Certification/Skills:

  • Working knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required. Working knowledge of University financial systems is preferred.

Minimum Education:

  • Bachelor’s degree level of higher education in business related field required. Equivalent level of education and/or experience may substitute for education requirement.

Minimum Experience:

  • One (1) year related work experience required. Prior experience in finance, accounting, business administration or business management required.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
