Medical Clinic Manager- ELP (Ophthalmology/Alberta)

Position Description

Champions a values based culture to promote unit effectiveness. Responsible for all day-to-day clinical operations; Plans and oversees fiscal/administrative support, human resources management, and office services. Performs tasks which require advanced skills in organization, planning, interpersonal relations, in-depth knowledge of clinic operations and overall understanding of other departments. This position interacts and works closely with the departmental chairs. Directly supervises 8-15 employees in the assigned clinical department. Work is performed in a medical clinic setting and may require a high degree of contact with patients, facility staff, and other partners.

Major/Essential Functions

Assists in the management of daily clinic operations, while coordinating with patient access units on required scheduling guidelines, verification, and referral management.
Reviews daily Messaging Boxes and ensure requests are completed within 24 hours. Ensure RMU referrals areassigned to the patient access staff and completed timely. Schedules all patients according the departmental and institutional guidelines.
Responsible for ensuring daily verification and authorizations are complete two weeks prior to service date. Collects payments from patients within guidelines and processes void requests for the patient access staff as needed while ensuring proper documentation.
Conducts daily audits for surgery schedules, ensure completeness of surgery charts, ensures patient deposits, verification and authorization are secured two weeks in advance. Follows insurance policy guidelines and departmental and institutional guidelines at 100% accuracy.
Supervises clinic staff to ensure efficient patient throughput, conducts quality assurance of registrations ensuring a clean claim, provides revenue cycle training, and customer service reviews. Measures wait times with a goal of wait time less than 15 minutes.
Reviews weekly patient satisfaction reports to ensure patient satisfaction at 75% or higher. Review MPIP error report related to FSC-ing; provides training on systems and applications as updates and changes occur. Ensure accuracy rateof 95% or higher.
Responsible for ensuring adequate staffing and is cross-training is available for daily clinic operations. Prepares daily schedule of clinic appointments and notifies clinic staff of changes. Makes adjustments as needed to ensure patient satisfaction and quality of care. Appropriately and promptly communicates any staffing changes to departmental and nursing leadership.
Develops and maintains a cross-training program, ensures staffing and patient ratio is adequate. Makes adjustments accordingly. Promptly notifies Nurse Manager or designee of changes in the patient appointment schedule that will impact providers.
Reviews daily schedules identifying gaps, overbooking, or errors in scheduling templates. Serves as back-up to all patient access/scheduling staff. Requires flexibility to step-in and assist when needed/as required.
Prepares daily cash deposit within cash guidelines and ensuring proper segregation of duties. Prepares daily reconciliation.
Process outgoing correspondence to patients. Mails patient no-show letters and other correspondence.
Responsible for active participation in HR functions on behalf of the unit as it relates to interviewing and hiring decision.
Will also be required to process employee leave requests and approving payroll.
Supervises and monitors performance of employees. Responsible for the successful orientation and training of new staff. Ensures staff follows guidelines, and provides additional training to address any gaps.
Using currently accepted standards and department policies and procedures, maintains professional and courteous standards 100% of the time. Coordinates front and back office functions to ensure registrations and CMA staff are processing patients quickly and accurately. Ensures service recovery is completed with appropriate administrative approval. Serves as the initial point of contact for patient complaints. Ensure positive resolution. When necessary, escalate and communicate matters to nursing and departmental leadership.
Consistently adheres to all policies, procedures and practices (Regents Rules, TTUS, HSCEP OPs, etc.).Personally demonstrates, displays, and acts in accordance with TTUHSC EP’s values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serves as a value’s leader while actively promoting and encouraging staff within the department and across the institution.
Performs all other duties as assigned.

Required Qualifications

A minimum of a Bachelor s degree in a business related area plus 4 years of directly related experience; OR directly related experience equal to 8 years

Preferred Qualifications

Previous experience tracking, measuring and reporting clinical quality measures and improvements (i.e., wait times, patient satisfaction, etc
Previous experience serving in a manager or supervisor job classification within an ambulatory clinical setting (i.e., office manager, patient access manager, support services manager, clinic supervisor ,etc.).
Previous experience managing staff performance including conducting performance evaluation completion, and decisions related to employee coaching, correcting action, performance improvement plans, and terminations.
Ability to be self-directed and demonstrate excellent judgement in prioritizing multiple projects and assignments.
