Carolina Veterinary Specialists in Matthews is hiring an experienced and compassionate Client Service Supervisor to oversee Front End Operations and to lead team of Client Service Representatives!

We're seeking a service-minded individual to lead and develop our team of CSRs! This position offers a diverse set of responsibilities and infinite growth opportunities.

The CSR Supervisor:

  • Oversees the customer service staff, including coaching, mentorship, and development.
  • Manages the hospital front desk, personnel, and associated systems
  • Manages the CSR schedule according to staffing needs
  • Oversees all financial and cash-handling transactions
  • Processes refunds, returns, credits
  • Processes statements, payment plans, closeout reports as required
  • Performs as CSR when necessary
  • Serves as an active member of the hospital leadership team
  • Completes other duties as assigned by Hospital Manager

About Our CSR Team

Client Service Representatives (CSRs) serve a unique and powerful purpose in our hospitals. Our CSRs focus on the total client experience. This role encompasses a true humanity for both our clients and their pets, as well as teamwork and shared efforts with the medical staff in order to provide comfort, communication, and expert service at a time when pet owners need support the most. In addition to fostering strong relationships with our clients and referring veterinarians, our CSRs also perform a variety of administrative duties critical to hospital operations.

CSR duties include:

  • Greet clients in a friendly, professional, and efficient manner
  • Answer multi-line phone system
  • Appointment scheduling
  • Data entry
  • Processing hospital admissions and discharges
  • Coordinate medical records and communication with referring practices
  • All aspects of medical record-keeping including filing and transmission of records
  • Take a lead role in appointment and patient flow
  • Provide clients with a clean, functional, and refreshing waiting room experience
  • Financial transactions and money-handling, including client counseling about payment options
