Job Details for Executive Assistant:

  • Schedule: Monday-Friday, 8:30am - 5:00pm
  • $75,000 - $80,000

Job Responsibilities & Description for Executive Assistant:

  • Provides strategic, operational, and administrative support for the CEO, Board of Directors, as well as internal and external constituencies.
  • Manages a wide range of matters of organizational importance and is responsible for the central coordination of all functions and activities in the CEO's office.
  • Manages the schedules, planning, communications, and operations of the Board of Directors and Board Committee meetings.
  • Serves as point of contact for various constituency groups served by the organization and provides internal coordination and leadership on administrative matters.
  • Provides a bridge for smooth communication between the President's Office and internal departments, demonstrating leadership to maintain credibility, trust, and support.
  • Maintains the CEO's calendar. Anticipates and manages preparation needs for the President and other organizational meetings/events. Provides CEO with pre-meeting/event materials and provides follow-up post-event/meeting.
  • Collaborates with the CEO to ensure all governing responsibilities are addressed by the Board.
  • Prepares board minutes and maintains records and documentation for the Board of Directors.
  • Reviews, updates, and maintains corporate and governance documents (by-laws, articles of incorporation, conflict of interest, and board statement of expectations).
  • Completes ad-hoc projects on behalf of the CEO, including high-level, confidential, and personnel assignments.
  • In consultation with the CEO attends events, relevant professional meetings, and conferences.
  • Prepares and manages the budget relating to the President's Office and Board.
  • Provides administrative support, including calendar coordination for Chief Program Officer and Chief Administrative Officer.

Job Requirements for Executive Assistant:

  • Bachelor's Degree Preferred
  • Ten (10) to fifteen (15) years' experience working in a high-level support-oriented role.
  • Experience working with a Board of Directors and Foundation
  • Proficiency in Windows operating environment, along with current Microsoft Office Suite, database management
