JOB SUMMARY

This position provides executive support for the Southern Company Services (SCS) Senior Vice President (SVP) of Power Delivery. The Executive Assistant position requires someone who has extensive experience in the administrative field supporting an officer or manager in a corporate environment. In addition, this position requires exceptional organizational and decision-making skills for primary purpose of managing the SVP’s calendar and travel. This position will also be privy to confidential information and must always be able to maintain confidentiality. The person in this role must also exemplify “Our Values” and be a team player with exceptional working knowledge of computer office applications. The person will be a valuable member of an executive assistant team and must have the ability to function as a team player.

JOB REQUIREMENTS

Experience:

  • Extensive experience providing administrative support in a busy, high-volume office, preferably with executive level support in a corporate environment or relevant work experience in some sort of customer service/support role
  • Previous exposure to and experience managing confidential information on behalf of the executive and management team is critical
  • Experience working with/through others to obtain information needed to pull together information that is critical to the success of the organization
  • Experience with timekeeping, expense reporting, arranging travel and coordinating meetings, as necessary
  • Experience managing a senior/executive level calendar and incoming calls
  • Experience taking initiative and being a self-starter in day-to-day responsibilities
  • Extensive experience demonstrating the ability to work in a team environment.

Knowledge:

  • Ability to professionally represent the office of the Transmission Leadership Team, including professional interactions with other executives, managers, peers, department employees, external industry executives, Southern Company operating Companies, and other customers
  • Must possess both organizational and decision-making skills
  • Proven ability to produce accurate results in a timely manner independently, with minimal supervision and direction
  • Ability to provide error-free, professional correspondence and communications, via electronic or hard copy, as a trusted representative of the executive office, with minimal rework
  • Ability to prioritize, multi-task, organize, meet deadlines, and support the needs of an officer and team
  • Must be savvy enough to build and maintain relationships with executive support across the Southern Company system in an effort to manage the SVP’s calendar and travel
  • Demonstrated proficiency in Microsoft Office products, including Outlook, Teams, PowerPoint, Word and Excel (all of these tools will be a critical success factor in this role)
  • Demonstrated proficiency in Oracle or similar type program for time, expenses, and invoice entry and processing.
  • Must possess excellent customer service, time management, phone, interpersonal, and communication skills
  • Uses good judgment to either involve the officer or make independent decisions, as appropriate
  • Must feel comfortable initiating open communications with the SVP to keep him/her informed of activities going on in the office and within the organization
  • Must be an effective team player, by collaborating closely with the Assistant-To and building relationships and participating with the team’s administrative staff to provide adequate coverage across the entire organization

MAJOR JOB RESPONSIBILITIES

  • Responsible for managing the SVP’s calendar and answering phones to ensure the SVP remains abreast of daily activities and requests
  • Provide support by confidentially screening the SVP emails and ability to proactively prioritize the handling/processing of requests
  • Offer timely support in processing requests and understanding of invoice processing through Maximo
  • Managing and prioritizing internal and external industry meetings and taking the initiative to make changes as needed
  • Provide all materials required for external industry meetings in a timely manner including travel information, agendas, and other documentation
  • Collaborate with the Assistant-to, Operations and PDVP Executive Assistant teams, and Transmission Administrative team to ensure timely and effective coordination to achieve Organization’s goals
  • Provide additional support to Transmission organization and Operations as needed
