Statement of Purpose: Responsible for entering data into the database or other customized software in a timely manner. Facilitate several processes controlled by the maintenance department. This position reports to the Environmental Services Director and is non-exempt from overtime pay.

Major Tasks, Duties and Responsibilities:

  • Assist with the refurbishing schedule, including issuing purchase orders and scheduling all vendor work.
  • Support coordination of move-in requirements with potential buyers and the Move-in Coordinator, while upholding facility standards.
  • Represent both housekeeping and maintenance for the white glove efforts for new resident move ins. (Customer service excellence)
  • Assist Director of Environmental Services with day-to-day tasks required for maintaining the operations of the maintenance department.
  • Print and close work orders; prepare resident billing for chargeable work.
  • Code maintenance invoices with correct GL codes; record all expenses on spend down reports; reconcile monthly budget; prepare monthly variance report.
  • Assist finance department on a monthly basis with obtaining copies of all invoices for activity coded to the fixed asset accounts for both the Retirement and Care Centers.
  • Responsible for the monthly fire drills and disaster drills. Including; scheduling, coordinating, conducting and documenting the various fire and disaster drills.
  • Keep Life Safety policies, procedures work station manuals updated. Function as the life-safety coordinator.
  • Responsible to track, maintain and update departmental statistics related to: MicroMain software, shop dashboards and refurbished units.
  • Respond to resident requests as needed.
  • Maintain records and files in a complete and orderly manner, having all supporting documentation available and all reports printed and distributed on a timely basis, as applicable.
  • Assist with other projects and special assignments within the Environmental Services department, and other departments as needed.
  • Make recommendations for improvement or enhancement to job processes. Work independently while understanding the necessity to communicate and coordinate work efforts with other departmental employees.
  • Keep accurate and up-to-date records of office procedures.
  • Promote campus and department standards in all aspects of the position. Assist the Department Director, Manager and Lead Maintenance Technician as needed.
  • Put team success ahead of individual interests; contribute to teamwork by demonstrating a "will-do" attitude and by working cooperatively with others, including other departments.

Qualifications:

  • Must possess strong keyboarding skills and be able to accurately type a minimum of 40 words per minute.
  • High School graduate or equivalent.
  • Proficient in Microsoft Office software with intermediate spreadsheet skills (Excel).
