EAST CHICAGO URBAN ENTERPRISE ASSOCIATION

POSITION TITLE:

Operations Manager (Full-Time)

POSITION SUMMARY:

The position, reporting to the Board of Directors, serves as the Association’s only full-time position, and handles to coordinate the daily operations of the organization. As such, the position requires a self-starter, regularly demonstrating both independent thought and action on a daily basis. The position demonstrates the skills necessary to advance the organization in support of its mission through innovative programming.

ESSENTIAL FUNCTIONS:

  • Oversees financial operations of the Association including all accounts and financial resources.
  • Identifies new revenue streams, resources, potential grants, and funding opportunities.
  • Identifies new programs and manages the success of the Association’s programming objectives and initiatives both as a key responsibility of the position and in support of the Associations staffing team.
  • Serves as staff contact and resource in support of the Association’s Board of Directors.
  • Serve as the landlord representative for the Enterprise Development and Management Corporation, handling and responding to property management issues.
  • Assures that the offices are presentable and maintained.
  • Develops, promotes and carries out successful programming on behalf of the Association.
  • Serves as the primary liaison with the general public and local business.
  • When applicable, serves to coordinate the activities of independent contractors on behalf of the Board of Directors.
  • When applicable, serves to directly supervise interns.

SPECIFIC RESPONSIBILITIES:

Association:

  • Set programming goals and objectives
  • Manage Accounts Payable
  • Manage Accounts Receivable
  • Keep All Accounts in Good Standing
  • Ensure Cost Saving Measures are Used for Expenditures
  • Maintain Financial Documents
  • Monitor and Reconcile Bank Accounts
  • Keep Authorized Signers on All Bank Accounts Up to Date
  • Manage All Aspects Payroll
  • Prepare Monthly Financial Reports
  • Compile Documents and Assist with Annual Budget Preparation
  • Prepare and Mail Annual Mass Mailings for Zone Businesses
  • Compile Documents and Assist Accountant with Annual Tax Returns
  • Respond to IRS Inquiries
  • File Annual 1099s and 1096s
  • File Business Entity Report
  • Maintain Business Database
  • Monitor Medical Insurance Policies and Work with Insurance Agent
  • Monitor and Maintain Office Maintenance Contracts
  • Maintain Office Equipment
  • Clean and Maintain the Office Area
  • Assist the Board by Preparing the Agenda and Minutes
  • Carry our Board Directives
  • Track Grant Expenditures if applicable
  • Attend Meetings as Requested
  • Perform All Other Duties as Assigned

Enterprise Development and Management:

  • Manage All Aspects Payroll
  • Coordinate Fire Watch and Manage Fire Watch Employees
  • Prepare Monthly Financial Reports and Records (see above)
  • Attend Meetings as Requested
  • Receive, Review and Act on Repair Request
  • Meet and Work with Contractors and Vendors
  • Respond to Disastrous Calls, Evaluate Damage, Submit Insurance Claims and Arrange Repair Work
  • Maintain Record of Types and Frequency of Service Requests
  • Review and Make Recommendations on All Bids and Quotes
  • Monitor all Repair Work
  • Troubleshoot Safety and Maintenance Problems
  • Communicate with Academy Director and EMO Maintenance Staff on Condition of Facility
  • Provide 24 hour, 7 Days a Week, Emergency Management
  • Perform all Duties Associated with Being a Landlord
  • Perform All Other Duties as Assigned

DECISION MAKING:

The position is responsible for prioritizing assigned tasks, and carrying out duties and directives as assigned by the Board of Directors. The position requires independent judgement and the ability to make decisions on behalf of the Association.

CONTACTS:

The position comes in contact with residents, visitors, Board members, and local businesses on a daily basis.

RESPONSIBILITIES FOR RESULTS:

The Operations Manager is responsible for assuring that the Association operates in a professional and responsible manner.

RESPONSIBILITY FOR SAFEGUARDING ASSETS:

The position is responsible for safeguarding finances, equipment and property of the Association.

KNOWLEDGE/SKILL:

  • Ability to communicate with Board members, residents, employees and contractors (if applicable).
  • Strong financial skills and experience; at least 5 years of experience in a similar position or capacity.
  • Demonstrate ability to contribute to a team approach.
  • Must be a self-starter, confident, take the initiative and be able to complete tasks and assignments with little supervision.
  • Be accountable for one’s own actions, along with the ability to take responsibility for the organization’s actions/successes and shortcomings.

PHYSICAL REQUIREMENTS:

  • Although not a daily requirement, be able to lift up to 30lbs. (case of paper or heavy files).
  • Prolonged periods of standing and sitting.
  • Some periodic bending and reaching.
  • While not crucial to the position, the ability to perform duties that require a full range of motion when cleaning.
  • Full range of hand dexterity when entering data into a computer.

EDUCATIONAL PREREQUISITES

  • At minimum, possess a high school diploma or GED; some college or college degree preferred.

Job Type: Full-time

Pay: $55,000.00 - $65,000.00 per year
