Posting Summary
Rutgers, the State University of New Jersey is seeking a Program Administrator in the Medicine-Chairman’s Office within the Robert Wood Johnson Medical School.

The Program Administrator provides general administrative and management support to the Chair’s office in the Department of Medicine. Serves as liaison with various units and administrative offices throughout the University for Faculty and Staff Affairs and Human Resources matters.

Among the key duties of this position are the following:
  • Supports the coordination of administrative and analytical services for the Office of Faculty Affairs.
  • Supports the processing of faculty personnel actions for the RWJMS/Department of Medicine to ensure timely completion of forms for Human Resources, Payroll, etc.
  • Manages the processing of all staff personnel actions for the RWJMS/Department of Medicine to ensure timely completion of forms for Human Resources, Payroll, etc.
  • Serves as a liaison between the Department and other administrative units such as Academic Affairs, Human Resources, Payroll, Purchasing, Accounts Payable and RWJUH Office of Medical Administration.
  • Ensures compliance with all procedures and coordinates timely completion of all aspects of the hiring process including but not limited to any faculty and staff actions e.g. new hires, voluntary faculty, changes in FTE, changes in title, administrative appointments, promotions, processing of Employment Eligibility Verification (I-9), etc.
  • Faculty Evaluations: follow up with division chief’s and other administrators, to ensure all faculty and staff evaluations are completed within the time frames set by the school.
  • Establishes and maintains official personnel files for faculty.
  • Enters and maintains new hire information into the Faculty Information System (FIS) as well as other database systems.
  • Oversees implementation of administrative decisions and the maintenance of official records of program and related committee activities.

Qualifications

Minimum Education and Experience
  • Bachelor’s Degree in Business Administration or a related discipline, plus four (4) years of progressively more responsible professional experience inclusive of day-to-day operational, and program management responsibilities in a business office, government agency or university setting.
  • Equivalent experience, education and/or training may be substituted for the education requirements.

  • It is imperative that this individual possess confidentiality, accuracy and efficiency.
  • Desired candidate must be adept at communicating with colleagues, display excellent written, oral, and computer skills, including facile use of MS Word, Excel, PowerPoint, and an ability to use internet-based surveys and tools.
