Summary
This position exists on the Central Operations and Registration (COR) team to perform a full range of student registration services, including managing inquiries and enrollments across 45+ programs in six units through telephone, email, and website registrations. It maintains student records in the Continuing Studies Office Non-Credit database system (DestinyOne). The individual in this position works Monday through Friday, 8:00 am to 5:00 pm. The Registration Specialist may be directed to perform other job-related tasks not explicitly presented in this description.
Duties Performed
  • Facilitate student registration; force adds, individualized sections, coordinate enrollment changes, add groups, transfers, refunds, requests for exceptions, add/drop enrollments and withdrawals for all continuing education curriculum and programs.
  • Maintain knowledge of program offerings, including individual courses, academic enrichment camps, management training opportunities, certificate programs, and newly developed programs, responding to inquiries with detailed information and problem-solving as needed.
  • Respond to information requests received via e-mail, phone and in-person from various constituencies, both internal and external, for information about registration, activities and curriculum across all Continuing Education programs. Serve as liaison between learners, Continuing Studies units and other internal Duke departments.
  • Manage student records ensuring accuracy and integrity (i.e., record creation, grade entry, grade reporting, data entry relative to changes in status, change grading basis, cross-listed course changes, and drop/add enrollment requested by program directors and teams).
  • Troubleshoot various system issues on a regular basis to verify that learners and programs are viewing accurate data.
  • Coordinate and execute mass enrollments for all programs (OLLI, Pre-College Summer Camps, Adult Education etc.) as requested by units for Fall, Spring and Summer terms.
  • Assist with testing registration set-up for each program to ensure the specialized DestinyOne system infrastructure is accurate. Manage the registration in-box through the Zendesk ticketing system responding and triaging as appropriate.
  • Process payments; manage duplicate accounts; apply scholarships; issue invoices, balance daily deposits of checks to the University Cashier’s office; and produce reports related to the enrollment/registration function.
  • Work with students and agencies regarding third party loan applications and the processing of loan payments.
  • Receive, problem-solve, and process transfer requests.
  • Provide student registration support services to internal and external partners in the execution of program curriculum.
  • Serve on internal committees as assigned.
Additional Responsibilities Include
  • Enter grades at end of course, as needed, and follow up with programs regarding missing grades.
  • Process and distribute student transcripts.
  • Process enrollment verifications. Perform periodic quality control checks (QC) to ensure data accuracy.
  • Develop and maintain a standard operating procedures manual for essential tasks
  • Perform other office related tasks, as assigned by Office Manager or other management personnel within the office.
Remote: This position is primarily remote with a greater emphasis on online interaction as the primary communication method with customers. There are periods when in-person activities and meetings is required.
Education/Training
Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.
Experience
Three years’ experience working with academic support and student information systems
Excellent oral and written communication skills. Strong organizational skills a must -ability to prioritize, organize and manage multiple tasks. Ability to learn, adapt to, and navigate between multiple university and enterprise applications
OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Knowledge, Skills, Abilities:
  • Strong interpersonal skills resulting in ability to work cooperatively with various constituencies
  • Familiarity with PeopleSoft Campus Solutions, DestinyOne Solutions is a plus
  • Excellent organizational skills
  • Understanding of academic data structure and course planning

Minimum Qualifications


Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.


Experience


Work requires one year of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
