Summary of Job Duties:
The Center for Research, Health, and Social Justice and the Community Engagement Alliance against COVID-19 Disparities are seeking a full-time person who has responsibility for supporting the operational functions, communications, travel, procurement, and management of databases for grants funded to faculty members in the Department of Health Behavior and Health Education. This person is a critical member of the teams and requires strong communications, organization, problem-solving skills, integrity, advocacy, and collaboration.

Qualifications:
KEY RESPONSIBILITIES
  • Administrative duties. Directly support the grant and oversee the day-to-day operations as it relates to travel; purchasing of supplies; payments to partners; assisting with budget management; and assuring compliance with UAMS policies and procedures as relevant to this position. Assures timely and high quality implementation of processes, standard operating procedures, and compliance with UAMS policies. Work efficiently and effectively in Workday and other UAMS systems.
  • Coordination, Collaboration, and Communications. Plan, coordinate and oversee logistics for regular research team meetings including setting up Zoom and other meetings; managing Zoom meetings and providing technical support; developing doodle polls for meetings and setting up meetings with stakeholders; maintain accurate and update list of partners for project and distribute information to the lists as needed; coordinate and proactively follow-up on action items; work collaboratively within a team to accomplish work tasks; work in collaboration with other faculty, staff, and partners to assure timely scheduling, coordination, and management of meetings, activities, and center products. Serve as a back-up to other department administrators and work collaboratively to assure departmental tasks are completed with accuracy, efficiently and in a timely manner. Maintain a friendly and approachable demeanor, confidentiality, respond in a timely manner to all correspondence, and maintain open communications to assure the flow of appropriate information to relevant constituents. Update and maintain websites.
  • Data management. Maintain appropriate paper and electronic records of documents including project box files; file information in organized way in UAMS box and other database; enter data into various computer-based programs (e.g. Excel, RedCap), help to manage survey data; and work with investigators to prepare data for analysis. Help assure timely implementation of strategic plans and work plans.
  • Other duties as assigned.
MINIMUM QUALIFICATIONS
Education: High school diploma/GED and 6 years of administrative or program coordination experience OR Bachelor's Degree and 2 years of administrative or program coordination experience.
Special knowledge, abilities and skills:
  • Experience in Microsoft Word, PowerPoint, Excel.
  • Attention to detail and ability to follow instructions.
  • Excellent written and oral communication skills and ability to communicate with a wide variety of stakeholders; ability to work in a team and independently; highly motivated; creative; critical thinking; resourceful; responsible; collaborative; and problem-solving skills.
  • Ability to learn new technology.
  • Experience in working on teams and independently.
  • Self-starter and highly motivated.
  • Ability to work with diverse populations.
