What we are looking for:

ADMINISTRATIVE ASSISTANT

Hybrid position

Summary of Authority and Responsibility

Provides office support to claims managers and adjusters including answering telephones, managing incoming claim emails, typing correspondence and forms and pulling and storing files; may handle small claims not requiring licensure; may distribute work to claims branches and/or adjusters.

Supervision

Managed by the Office Manager, or in the absence of an Office Manager, the Branch Manager.

Minimum Requirement

One year of Administrative Assistant experience required; must be computer and tech savvy; must demonstrate superior written and oral communication, and problem analysis and organizational skills required.

Contact with Others

Contact with Office Manager, Branch Manager, Adjusters and Administrative Assistant(s). Outside contact with clients, branch offices, attorneys, and insurance agents.

Duties and Responsibilities

  • Assist managers with the organization and coordination of various projects.
  • Use good judgment in handling matters requiring attention in the absence of managers.
  • Maintain confidentiality of all information acquired in handling work of the Branch and District managers.
  • Answer phones courteously and professionally and generate quality messages.
  • Take new assignment information and enter it into the computer.
  • Complete, send and file routine reports in a timely manner.
  • Generate invoices based on approved invoice worksheets.
  • Manage incoming mail as appropriate.
  • Order office supplies as needed through approved channels.
  • Maintain client spreadsheets and procedural manuals in proper order.
  • Help maintain office supplies
  • Perform any other duties as assigned by Managers.
