This position manages the day-to-day general operations of the ZSFG Neurology Service—a division in the UCSF Department of Neurology that handles all Neurologic care at the Zuckerberg San Francisco General Hospital. Our division includes almost 200 physicians, trainees, researchers, and staff, and this position will work with our division as well as partners in our Department and across the ZSFG.

Administrative services include handling reimbursements, calendar needs, managing staff and faculty onboarding, handling space, facilities, and IT needs. This position will handle organizing faculty searches, faculty meetings, research team meetings, and other special events. This position will handle our trainee administration (medical students, residents, and fellows), under the guidance of the Office Manager and Division Manager.

Specific duties may include managing budgets for operational needs such as parking, supplies, telephones, and other office needs; mail; ordering supplies; clinical and research procurement; keeping inventories of supplies, computers, phones, badges, clinical and research equipment, etc.; managing staff transitions such as onboarding and off-boarding; assuring compliance with regulatory requirements for both the Department of Public Health and UCSF; creating and posting monthly calendars and other communications; maintaining and updating our division website and writing communications such as training instructions, division announcements, monthly newsletters, and other duties as assigned / needed by the division during various times of programmatic change or growth.

This position will develop systems to organize various service processes and present reports on progress. This position requires flexibility, a customer-first outlook, and the ability to multi-task, follow up, handle communications, and use observations / experience and computer skills to devise improvements to processes related to the day-to-day operations of the service.

The final salary and offer components are subject to additional approvals based on UC policy.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Neurology Service at ZSFG has several parts that work together to serve all missions at UCSF: patient care, education, research, and equity. Furthermore, we are deeply committed to UCSF’s PRIDE values.

The service has inpatient components (in the Zuckerberg San Francisco General Hospital): the Adult Inpatient Neurology Ward Service, Adult Inpatient Neurology Consultation Service, Neurocritical Care Service. The service has outpatient clinic in our various Neurology Outpatient Clinics for new and continuing patients, as well as special clinics and procedure clinics every week. The service also oversees the Neurodiagnostic Laboratories, including electroencephalography (EEG) and electromyography (EMG), and cooperates with the Pediatric Service in providing Child Neurology Service specialty care. These components function together to contribute to the excellence of patient care.

This service also has a busy educational component, each year providing an educational clinical context to more than 50 medical students, 48 Neurology Residents, 6-10 fellows, 6 Medicine Residents, up to 10 St. Mary’s residents, and a handful of Neurosurgery residents.

We also have a clinical research program that spans much of Neurology, from Neuro-Emergency (traumatic brain injury, stroke, etc.) to neurodenerative diseases and global health.

The Neurology Service at ZSFG is an academic component of the University of California, San Francisco (UCSF) so we operate within all rules and regulations for UCSF, with special considerations (extra regulations) because of our special position operating within the county of San Francisco’s safety net hospital.

Required Qualifications

Bachelor’s degree in related area and minimum one year of experience / or equivalent experience / training.
Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
Solid organizational skills and ability to multi-task with demanding timeframes.
Working knowledge of common organization-specific and other computer application programs.
Ability to use discretion and maintain confidentiality.
Ability to work on-site in a clinical setting during normal working hours.
Ability to use sound judgment in responding to issues and concerns.
