Job Summary:

The scheduling clerk is responsible for managing and coordinating appointments, meetings, and events for the Housing Authority of St. Mary's County (HASMC). He / She is responsible for ensuring that schedules are organized, efficient, and meet the needs of the HASMC.

Additional duties include a variety of administrative, regulatory and compliance tasks related to the operation of various community development and housing programs. This position links and delivers housing services and funding to eligible households together with private sector owners or managers. The position provides a primary role for intake and occupancy of residential communities and housing programs.

Work involves maintaining full compliance with applicable laws, quality community relations, software competency, determining that eligibility requirements for housing are met; providing general housing information; performs other duties as assigned.

Essential Functions:

1. Managing calendars: Responsible for scheduling and managing the calendars of program staff, maintenance department, and other staff members.

2. Scheduling appointments: Schedules appointments with clients, vendors, and other stakeholders.

3. Coordinating meetings: Coordinates meetings, including arranging meeting locations, sending out invitations, and organizing materials.

4. Handling phone calls: Answers phone calls, screens and directs calls to the appropriate personnel.

5. Documenting appointments and meetings: Records appointments and meetings and maintains accurate records for reference.

6. Resolving scheduling conflicts: Responsible for identifying and resolving scheduling conflicts, and communicating any changes to stakeholders.

7. Providing administrative support: Provides administrative support, such as processing paperwork, data entry, and general office duties.

Required Knowledge, Skills and Abilities:

1. Excellent communication and organizational skills.

2. Must be able to multitask and prioritize tasks effectively.

3. Attention to detail, accuracy and discretion are also important traits for this role.

4. Strong computer skills and experience using scheduling software are also highly valued in this position.

In summary, the scheduling clerk plays a critical role in ensuring that the daily operations of the housing authority run smoothly and efficiently, by managing phone calls, appointments and schedules in an organized and professional manner.

Education and Experience:

Associate’s degree;

Two years or more of job-related experience; or equivalent technical training, education, and/or experience;

Proficient in Microsoft Office Suite;

Valid driver’s license and proof of current automobile insurance and reliable transportation

Physical and Environmental Conditions:

Work requires light physical effort in the handling of light materials or boxes and tools or equipment in non-strenuous work positions up to 30 pounds and/or continual standing or walking.

Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meetings, and training rooms.
