Job Description: Back Office Staff

Reports to: Practice Manager and Back Office Lead. Receives guidance from Clinical Manager for any clinical concerns

Qualifications:

Provides compassionate, effective and efficient delivery of high-quality clinical care for patients.

Skills/Knowledge/Ability:

· Interpersonal: Client-oriented; participates in the development of a healthy work environment. Uses interpersonal skills to establish and maintain healthy interpersonal relations. Good communication skills; both oral and written.

· Critical Thinking: Ability to handle multiple simultaneous tasks and phone calls while maintaining a professional, courteous demeanor. Must be able to handle patient confrontations in a positive manner. Ability to handle emergency situations and have the ability to develop triage skills. Ability to problem solve; solution and detail oriented.

· Knowledge: Working knowledge of health care environment and patient processing with electronic medical record. Knowledge of forms, policies, and procedures

· Machine, Equipment, Work Aides: Computer, printer, copier, telephone and fax

· Work Environment: Subject to a busy office requiring ability to prioritize and organize. Some overtime may be required

· HIPAA – Confidentiality – maintain patient, team member and employer confidentiality. Comply with all HIPAA regulations

Job Responsibilities:

· On time, logged in and prepared to work at beginning of shift

· Prepare charts and information for next day schedules, identifying any immunizations that need given, any developmental screenings, and/or procedures that need completed

· Perform opening duties, i.e. schedules, lab, exam rooms

· Assist Front office as needed

· Respond to daily needs of the providers and perform orders as instructed

· Working knowledge of Immunization schedules written consent and the administration and correct documentation of all vaccines

· Completes appropriate insurance waivers and lab requisitions

· Room patients and provide parents with age appropriate questionnaires and handouts

· Attend clinical meetings/trainings

· Maintain certification or licensure and CPR certification

· Maintain excellent communication and effective working relationships with patients, providers, clinical and clerical team members within PAI, the public and the medical community outside PAI for continuity of high-quality patient care

· Work at different Pediatric Associates, Inc. (PAI) office locations as needed

· Implements in a supportive manner, policies and procedures as directed by management

o Ensure compliance with current state and federal regulations and OSHA and HIPAA requirements and regulations. Identify and recommend policies and procedures as needed to ensure quality, compliance, accuracy and cost efficiency

· Maintain a clean, sanitary environment

· Adheres to the protocol for dispensing and giving medical advice – see policy

· Complete End of Day duties which are posted in Lab

· Ask Lead for downtime tasks/responsibilities

· Identify risks and concerns and report to Practice Manager

· Perform all other duties as assigned

Competencies:

· Knowledge of electronic medical record and practice management systems (EHR)

· Knowledge of medical terminology

· Knowledge of medical office principles, standards, applications and tests

· Knowledge of medical office safety, cleanliness and infection control policies and regulations

· Knowledge of medical office equipment uses and maintenance

· Accuracy – ability to perform work accurately and thoroughly

· Maintains good rapport with team members and customers (both internal and external)

· Uses appropriate office language/conversation

· Proficient use of computer and electronic medical record

· Maintain patient, team member and employer confidentiality. Compliant with all federal regulations

· Customer Service oriented – friendly, cheerful and helpful to patients and others. Ability to meet patients and others’ needs while following office policies and procedures

· Ability to make critical decisions while following PAI policies and procedures

· Ability to pay attention to the minute details of a project or task; ask if unsure

· Ability to adapt easily to changing conditions and work responsibilities

· Displays a positive attitude and is a positive agent for change

· Works as part of a team and collaborates with co-workers

· Ability to complete assigned tasks under stressful situations

Education and Experience:

· High school diploma or equivalent required

· Medical office experience preferred

Certification and Licensure:

· CMA Certification, or LPN or RN license required

Job Types: Full-time, Part-time

Pay: $18.00 - $19.00 per hour
